To start, if you're referring to QuickBooks Desktop (QBDT), make sure your backup company file is ready. QBDT uses the backup file (.qbb) to generate a new company file (.qbw). If your backup is stored on an external device (like a USB) or a cloud service (like Box), move it to your local hard drive first. Then follow these steps to restore:

 

  1. Open QuickBooks, navigate to the File menu, and choose Open or Restore Company.
  2. Select Restore a backup copy and click Next.
  3. Choose Local Backup and proceed by clicking Next.
  4. Locate your backup file on your computer, typically named [Your company name].qbb.
  5. Decide on a folder to store the restored file and select Open. Note: Avoid saving in the same folder as your current company file to prevent overwriting.
  6. To prevent data overwriting, rename the existing or backup file for uniqueness, or save the backup in a separate folder.
  7. When all is set, click Save. If prompted about overwriting data, choose the appropriate option. Do not overwrite unless certain.

However, if you're referring to restoring your data from a backup in QuickBooks Online (QBO), please note that the backup and restore features are exclusive to the Advanced plan. Restoring a backup might take up to an hour, but it usually requires less time, especially if the company data is minimal.

 

To restore your data:

 

  1. Navigate to Settings, then choose Back up company. You may need to log in with your Intuit account and authorize the process.
  2. Locate the company you want to restore.
  3. From the Action dropdown menu, select Restore.
  4. Choose the desired restoration date from the Date field.
  5. Select the restoration time from the Time dropdown menu.
  6. Click Next and follow the provided instructions.
  7. Click Start Restore to initiate the process.
