The e-filed state and federal tax forms in QuickBooks Online (QBO) Payroll can be tracked through the Payroll Tax Center, but separately identifying if the IRS or your state accepted them varies, Jenny. I'll share the steps on how you can review your forms and how to confirm if they're approved by both agencies.

 

To double-check your currently filed forms, follow these steps:

 

  1. Navigate to the Payroll menu, then Payroll tax.
  2. From the Filings tab, Filter the page to show your 1099 Form. If the Status is Accepted, it means they've been received and validated by your tax agency.

  3. You can also scroll down to the Done section and see its Status beside the tax name.

 

For reference, here is the list of filing statuses and what they mean or indicate:

 

  • Not Transmitted: You've done your part, but we haven't sent it to the IRS, state, or local tax agency yet.
  • Transmitted: We've submitted the form, but the agency hasn't processed it yet. The handling time for the IRS and the state could take a few weeks.
  • Accepted: The agency has received and accepted the form.
  • Rejected: The receiving agency has received and denied the form. When this happens, kindly review the rejection letter emailed to you for the specific reason.

 

Please know that some states may not require separate 1099 filings, relying instead on the federal filing. It means that confirming (separately) if the state or the IRS approved the forms varies.

 

You'll receive an email notification from the IRS, and if applicable (depending on your state), you'll also receive a confirmation from your state. If not, you can check the IRS or state agency's website to verify. You can also consider contacting the agencies directly.
