Join nowWhat happens to my company data if I cancel my QBO account? Is it deleted? Or is it kept so that I can re-open the account in the future if needed?
Similarly, if I downgrade my account, what happens to data that is not supported by the new subscription level? For example, I currently use Purchase Orders. What will happen to my purchase orders if I downgrade to a level that does not support purchase orders?
They will keep your data for 1 year from the time you cancel. You can convert your data to QB Desktop and use the trial version to open it later in the future. If you decide to downgrade the plan, some data will be hidden. Converting your data to QB Desktop before downgrading the plan is also a workaround to access your historical data at any time.
The data that is hidden - will it be visible again if I upgrade to my original level in the future?
Suppose I cancel and the data is kept for 1 year. If I then re-open my account, all of my data will still be there, correct? If I then eventually close it again, is the data again kept for another full year?
Is it easy to see all of my data in the Desktop version? Or does it take some "massaging" to get things to work correctly? Suppose I simply wanted to migrate to Desktop and continue using QB. How difficult is it to do that migration?
When you upgrade the plan, the feature will be available again.
After you cancel your account, you can still access it anytime in read-only mode for one year.
You can check the following reference
If you experience errors when trying to convert data on the trial version of QB Desktop 2023 or 2024, you can try using QB Desktop 2021. Contact me in private and we can share the trial code.

After cancelling a subscription, your data will remain on file for one year in read-only access. The account can be reactivated anytime.
There's a few things you'll want to be aware of before cancelling:
Intuit recommends exporting and/or printing your data prior to cancelling.
I've included a detailed resource about exporting data which may come in handy: Export reports, lists, & other data
As for how features and their associated data will be handled in the event of downgrading to a plan which no longer supports those features, your data associated with the unsupported feature will no longer be stored on file in your account, and the feature will no longer be usable.
You can visit our comparison chart webpage to review a detailed chart of which features are available in which plans.
I've also included a few detailed resources about cancelling, resubscibing, and downgrading which may come in handy moving forward:
If there's any additional questions, I'm just a post away. Have an awesome Thursday!
There are two contradictory answers here. If I downgrade the subscription, is the data that is no longer supported HIDDEN or DELETED? For example, I use purchase orders. If I downgrade to a level that does not support purchase orders, will all of my purchase orders be deleted? Or will I simply not be able to create any new ones?
Also, once I downgrade, will I still be able to see existing purchase orders? Or will those be hidden?
Is the Desktop trial only good for 30 days? My requirement is a way to access my historical data indefinitely, I wouldn't want to pay for a monthly or annual access to Desktop to do that. What can I do in order to have indefinite access to my downloaded data through a Desktop version?

You can use the trial version for good to access your historical data. Click on my profile name and you will find our website address to send an email to.
