Clients QBO books in my company QBO file. How can I move data to their client file?

I just started my QBO business.  I failed to create a subscription for my first client and unknowingly put all of their company transactions into my QBO business file.  It's about 4 months worth of data that needs to be moved.  How can I move all of their transactions into their client file and out of my business file?

I do not have any of my business transactions in my company file yet.  My company file should be blank.

What can I do?

I'll share some options for moving transactions to your client's file, @amoses2.

Currently, we're unable to transfer data and transactions between accounts directly. However, we can export the lists and connect a bank account to download the transactions.

To export the data:

  1. Go to the Gear icon.
  2. Under Tools, choose Export Data.
  3. Select the Lists tab.
  4. Toggle the slider for Customers and Vendors to the right.
  5. Click on the Export to Excel button.
  6. Press OK.

 To import the data:

  1. Log in to the client's account.
  2. Click the Gear icon.
  3. Under Tools, choose Import Data.
  4. Select the type of data that you'd like to import.
  5. On the Import customers page, hit the Browse button and pick the file you wish to bring into the company.
  6. Click the Next button and map the QuickBooks Online field to Your field.
  7. Hit Next and review the data to be imported.
  8. Once done, tap the Import button.

You can read this article for more information: Common questions about importing data to QuickBooks Online.

Additionally, if your data is less than 60 days, we can purge your account if you're using QuickBooks Online Plus, Essentials, and Advanced. The system deletes all data entered into the company, and restoring them isn't available.

To purge the data:

  1. Log in to your QuickBooks Online account.
  2. Change the URL to include /purgecompany.
  3. Example: URL shows https://...qbo.intuit.com/app/homepage, change to: https://...qbo.intuit.com/app/purgecompany.
  4. The next screen will provide a summary of the items to be deleted.
  5. Type YES once the data gets deleted, then click OK.
  6. Click Wipe Data once your selections are complete.
  7. Once the deletion is complete, you will be rerouted to your home page.

However, if your data is worth 60 days, you'll have to cancel your subscription and resubscribe to create a new company.

To cancel the account:

  1. Go to Gear icon and select Account and Settings.
  2. Select the Billing and subscription tab.
  3. Pick Cancel subscription, and follow the on-screen prompts to continue.

Once done, please proceed to Step 2 under the If your books are 60 days old or older section in this article: Delete your data and start over in QuickBooks Online.

To be guided in learning your ways around QBO, I recommend checking our QuickBooks Support page for reference. We have articles there that you can utilize for your future tasks.

I'm always here if you have more questions about moving transactions to your client's account. Take care and enjoy the rest of the day.
