Deactivating Subaccounts - Opening Balance Equity

After attempting to reconcile our main credit card account, it was found that there is suddenly a discrepancy of the beginning balance. I found that there are 4 system generated journal entries on this card due to sub-accounts that were deactivated.

Here's the new issue:

My predecessors set up sub accounts for our main credit card account, one sub account for each individual credit card per employee. While this isn't necessarily the way I would have gone since the reconciliations will only reflect on the main account, the sub accounts do not affect the balance sheets in anyway so we've made it work.

For the sake of simplifying things and maintaining accuracy, a handful of the older credit cards (either expired or employee no longer employed) were deactivated.

  1. If I re-activate these subaccounts, will this resolve this discrepancy?
  2. What alternatives to I have as opposed to deleting these credit card subaccounts as they're no longer active?

Please let me know as soon as possible. I need to clear out this balance from this Opening Balance Equity. Moreover I need to restore the beginning balance to our credit card so I can complete the previous month's reconciliation. I reached out to INTUIT on Tuesday and was told that this would be escalated on Tuesday the 21st. To date, I still have not heard back.

Deactivating Subaccounts - Opening Balance Equity

Welcome back to the Community space, ivan-drophousedesign.

I'll share a way to fix the beginning balance and get rid of the older credit card subaccount transactions.

If you deactivate an account with a balance, QuickBooks creates a journal entry automatically. This transfers the remaining balance to another account, allowing you to continue to access past transaction data for reporting purposes.

You must restore the account first if you want to edit/delete those transactions. After that, you can analyze the account and correct it to a zero balance before deactivating it again. You can also create offsetting transactions to correct the balance.

Here's how to make the account active again:

  1. Go to Settings ⚙, then Chart of accounts.
  2. Select the Gear icon ⚙ next to the printer icon. Then click Include inactive.
  3. Find the account you want to use again, then hit Make active.

Alternatively, you can edit the opening balance, make a deposit affecting the open balance to increase the balance, or make an expense/write check transaction affecting the open balance to decrease the balance. Before doing so, I recommend contacting your accountant to ensure that your books remain accurate.

Once everything is in order, you can now reconcile your account. Check out this article for your reference: Reconcile an account in QuickBooks Online.
