How do I back up my company to my local drive.

You can convert your data to QB Desktop file and use the trial version to access historical data for good.

How do I back up my company to my local drive.

Welcome to the Community, Wanessa.

I'd be glad to help you back up your company to your local drive.

In QuickBooks Online (QBO), you can only back up and restore your company if you're using a QBO Advanced plan. These are the data that you can't back up:

  • QuickBooks Online Payments info
  • Customer types and price rules
  • Delayed credits and charges (although associated invoices are backed up)
  • Recurring transactions
  • Bank feeds and their links to transactions and bank rules
  • Reconciliation reports
  • Account-based billable expenses
  • Item-based billable expenses with markup
  • Custom reports
  • Custom form templates
  • Audit log entries

Moreover, when you turn on the Online Backup and Restore app, QuickBooks automatically backs up your data. Once it's complete, it'll track any changes made to your company data. Then you can restore a backup at any point in time. To turn on the Online Backup, here's how:

  1. Go to Settings, Then select, Back up company.

Note: You might need to sign in to your Intuit account, and then select Authorize to proceed.

For more detailed information and how to manually create a backup, refer to this article: Back up and restore your QBO Advanced Company.

However, if you're using QuickBooks Desktop (QBDT) you can manually backup your company files to your local drive. Here's how:

  1. Go to the File menu and select Switch to Single-user Mode.
  2. Go to the File menu again and hover over Back up Company. Then select Create Local Backup.
  3. In the window, select Local Backup and then Next.
  4. In the Local Backup Only section, select Browse and select where you want to save your backup company file.
  5. When you're ready, select OK.
  6. Select Save it Now and Next.

For more information, check this article: Backup your QBDT company file.

I'll also add these articles to guide you on how to restore a backup of your company file and how to run financial reports.

Let me know if you have additional concerns about how to back up your company data. I'll be here to assist you.

So users who are on Simple Start, Essentials and Plus cannot back up and restore their company file?

Does it mean users subscribing to Simple Start, Essentials and Plus cannot back up their company file?

@cidchat

You can use a 3rd party backup restore app.

Otherwise, consider converting our data to QB Desktop file as I mentioned earlier.

Yes, you're correct, @cidchat.

QuickBooks Online (QBO) Simple start, Essentials, and Plus versions does not have the functionality to back up and restore your files. You can only perform it if you have QBO Advanced subscription. For more details, read this article: Back up and restore your QuickBooks Online Advanced Company.

As a workaround, you can export your data out of QBO and save it to your local drive. If you want to use them, you can simply import it back to your QuickBooks company. However, there are only certain data that you can export and import in QBO. To check what are those, please open these links:

On the other hand, you can either upgrade to QBO Advanced to take advantage of the feature or look for a third party application that can help you perform the process. To find one, visit our QuickBooks Apps Store page

Also, you may need to pull up a report to easily view the snapshot of your company. For guidance, see this link: Run reports in QuickBooks Online.

I'm just a post away if you have other concerns managing your data in QBO. Drop a reply below if you need further assistance. Have a great week ahead.
