Hello there, @cmaddox.
I'll make sure you can set up your employee's address and work location appropriately so you can keep your payroll data accurate in QuickBooks Online Payroll (QBOP).
In QBOP, you can set up an employee's personal data, such as an address, separately from their work location. With this, go to their profile, enter MA as their home address in the Personal info section, and then NH for their work location in Employment details.
You have two options for how to add an employee with QBOP:
To add your employee to your payroll, here's how:
You can read this article for the complete guide in setting up your employee in QBOP: Add your new employee to QuickBooks Payroll.
Also, you can pull up several payroll reports to view information about your business finances and employees in QBOP. You may want to check out this article for the complete list and to guide you on how to access and customize them: Run payroll reports in QuickBooks Online Payroll.
Keep me posted if you have other payroll concerns or questions about managing employees in QBOP. I'll gladly help. Take care, and have a great day, @cmaddox.
The suggested 'fix' did not correct the issue. Employee was actually entered correctly with NH working address in Employment Details. I do wonder why State is not its own entry box. I wonder how the employment location state is determined without a designated box for state. Continue to receive alerts from QBO about MA taxes needed to be paid and which are now considered long overdue.
We appreciate your prompt response, @cmaddox. I'll step in so we can work together to sort out this issue with managing your employee in QuickBooks Online Payroll.
Please know that your employee's work location helps us determine the correct state and local payroll taxes needed to collect. We use the United States USPS (USPS) address locator to verify work locations. That said, you'll need to provide us with the physical address of your employee.
As provided by my peer above, we can enter MA as their home address in the Personal info, and NH as their work location in the Employment details.
Since you've still received alerts from QBO about your MA taxes, we can review how you set up your taxes. Otherwise, you can reach out to your state tax agency to validate if you still need to collect state taxes. If you don’t, enter tax payments made for prior tax periods or choose the Do Not Withhold option for federal and state income taxes.
I'll show you how:
You can read these articles if you wish to learn more about how the system determines the correct state and local payroll taxes:
