Dear BettyJane,
I have trouble understanding your following response:
"Also, TurboTax has the option to set up a password when accessing your account. However, this isn't that necessary for it doesn't contain other personal details.
QuickBooks detects the presence of the following data and ensures strong control:
If TurboTax gives the user the option to set up passwords, why not QuickBooks?
I don't know how familiar you are with TurboTax, but you should be aware that Turbotax requires a lot of "personal details." Specifically the same type of details as QuickBooks:
QuickBooks TurboTax
Employee SSN
Employer SSN
Not your choice. That is our business and who we do or do not allow access to is frankly..none of your business. This is a tool that is suppose to make our lives easier. The attitude of "we know best" is the problem.
Your comparison of QuickBooks to TurboTax is flawed.
You state: "Also, TurboTax has the option to set up a password when accessing your account. However, this isn't that necessary for it doesn't contain other personal details."
That is not true. Both programs store very sensitive personal details.
In fact TurboTax's personal details may be more sensitive than those in QuickBooks, especially for those QuickBooks users, like me, who don't use the payroll function at all and have no need for SSNs in QuickBooks. We rely on an outside payroll service.
If the password is optional for TurboTax, why shouldn't it be optional for QuickBooks??
Your justification that "this isn't that necessary for it doesn't contain other personal details" is just plain wrong. The sensitive data that QuickBooks detects exists to the same extent in TurboTax.
In both programs you may find the employee and employer Social Security number, but in TurboTax it is absolutely necessary for the program to function properly, while in QuickBooks, at least the way I use it, it is not necessary and in fact I don't enter any Social Security numbers.
Same for the employer EIN. Necessary in TurboTax; not used by me in QuickBooks.
As for employer bank details, I don't use them in QuickBooks, but in TurboTax I need my even more personal taxpayer bank details in order to e-file a return.
A vendor tax ID may be necessary to fill out 1099s in QuickBooks, but third-party tax IDs are just as necessary in TurboTax to input Schedules K-1 and the various laundry lists of 1099 forms (the common ones being MISC, DIV, INT, R).
So, with all due respect, your logic is wanting.
And I hope that my pointing out this information to you does not result in the worst of all solutions, imposing an equally heavy-handed password system within TurboTax.
I'm in complete agreement with @dskurth. Let your users use your programs the way they want to use them.
Ditto to what Truth_Above_All said. I never put anyone's social security number, nor do I use the bank information. I purposely keep them separate. The point is, that intuit, is trying to force us to work with their own idea of work flow. That does not exist. I have been considering other packages that are more open, due to this..not there yet, but am thinking about it. Especially with Turbo Tax being horrific in relationship to quickbooks. Would not even import my records and when it has, it was wrong. Just used it has a giant form generator.
did you get then to agree to no password or what other software did you buy?
I don't find "Help - Send feedback online"
You are only protecting my information from me. Next thing is the manufacturer of my file cabinets forcing them to lock every time I close a drawer...and then needing new keys every 3 months???
The same information is in there.
Hi, cajjoe.
I can help walk you through the process of sending feedback via QuickBooks Desktop.
You can follow the step-by-step process on you can send feedback online in QuickBooks Desktop.

Since there is power in numbers, why aren't any of you thinking of a class action in response to this password B/S...????
Thanks for joining this thread, @Meeeeeeeeeeeee.
Allow me to step in and provide some additional information about the password security in QuickBooks Desktop (QBDT).
As my colleagues mentioned, the password security in QBDT cannot be removed. I understand that it takes time to keep entering your login credentials when accessing the company file. However, this is designed to protect your critical data such as your Social Security Number, Company EIN, Bank Information (Routing Number, Account Number), or Vendor Tax ID.
For additional reference, you can check this article to learn more about the password security for QuickBooks Desktop.
It's our priority to provide products and services that suit your business needs. I'll make sure to take note of your request. In the meantime, I'd suggest visiting our QuickBooks New Features. This way you'll be updated with the latest news and updates including product improvements.
Simply go to Help menu bar, select New Features, then click New Feature Tour.
Please know that you're always welcome to post if you have any other concerns. Have a good one.
Don't thank me, I didn't ask for your assistance.
Again, a class action denouncing continued manipulation and control of a paid for service, should get things changed.
My QB doesn't have any of the following: employee and company social security #, company EIN, company bank details (routing number, account number), or vendor tax ID. So this is how i took off the sign in when opening my QB PRO. Go to Company --- Set up users and passwords -- Set up users -- I only have 1 user so I doubled clicked on that user --- i deleted both passwords --- choose Select for Challenge Question --- Click Next --- Click No ---Click Finish
Ok I had an old version - have just wasted 2-3 hours of my VERY valuable time - finding out that to login I now have to 'RUN AS ADMINISTRATOR' AND PUT IN A PASSWORD - This is stupid - I am the one woman band and you are frustrating me beyond belief. Had to change from online - because I got ripped off by some in that lied to me about pricing. Still haven't received that refund. Then upgraded to a new version and really have spent so much time getting it going - that I haven't been able to use it.
Stop!!!
This isn't the kind of service I want you to experience, @lilylulu.
Entering your login credentials when accessing the company file isn't convenient especially if you're busy managing your business. But we need to help ensure that the person attempting to access your file account is authorized.
I appreciate you telling us your feedback. Letting us know about this will also let our developers know what they need to consider in the future updates.
Also, I'd like to route you to our Customer Support regarding your refund. They can check and verify your billing information using their tools.
Here's how:
Let me know if there's anything you need or if you have additional questions. I want to help however I can.
My Quickbooks Desktop Pro 2019 was working and suddenly it has been asking for a paswword to open a company file. I have no idea what, if any password exists apart from the password to access Intuit registration and it does not work. Can I disable this facility and if so how.
There are certain information that triggers the password requirement, Geoff Kav.
Once you enter Personal Identifiable Information (PII) in your company file, it will require you to create a password the next time you open it. This feature is used to protect your data, your customers, vendors, and employees' information from fraudsters and identity thieves.
At least one of the following PII can trigger the password requirement:
The password is nominated by the Admin user of the company file. However, it sounds like you have no idea about it. Did someone access your file and create the password? If you can remember, you can use the Automated Password Reset Tool to regain access to your file.
On the other hand, you can enable to option to stay logged in for 90 days when you can open your file.
Let us know if you still can't access your file. We'll answer to our reply, whoever is available.
Hi Jess T,
Thanks for your response. I have been trying to use the Automated Password Reset Tool but the zip code (Postcode in Australia) for where I live is only four digits long (4350) and the fill-in page will not accept four only digits and asks for five digits. Consequently I can go no further.
Thanks for giving us additional details, Geoff Kav.
I'd suggest contacting our Customer Care Team. They can help you right away with this concern.
Here's how:
If you have more questions, just post them here anytime. We're here to help.
I have never had my pc hacked to steel my data. How ever my data has been stolen from several of the big companies that store data online. QB is requiring a password just to make everyone think they are protecting you. As some point some hacker will had QB and everyone's info will be gone. I went back to QB 2014 to get around the password thing as it can be disabled. Been user since dos version and will never by another Intuit product even if I have to go back to ledger and calculator. Tired of companies controlling a product that I paid for and can not use.
Talk about being tone deaf
So what you're saying is that you don't care what your customers want.
"Can't reuse the last four passwords"...
So here's what happens. We can't remember these passwords which we are forced to enter, and are forced to change every 90 days, and we can't reuse them. So we write them down on a piece of paper and put it in our desk drawer. And all that marvelous security you guys think you are implementing has just gone out the window.
CHANGE THIS POLICY PLEASE
Hi dhait,
I can send your feedback to our product developers. It will be reviewed and evaluated. For now, we encourage you not use the same old password as it won't be accepted anymore.
Let us know if you have any questions.
I hope that your product developers consult with some security experts to get a better understanding of security best practices.
