I have a non-profit that needs a simple comparative P&L. Compare actual, to plan and prior year, for month and YTD on the same report. QBO is incapable of doing this.

I can show you how to filter the Profit and Loss to get the data you need, tkj99.

QBO lets you compare the P&L report from another period. This includes the Previous period, Previous year, and Year-to-date. Just set the correct report period and customize the report to show the details.

Like this:

  1. Form the Profit and Loss report, maximize the Compare another period drop-down.
  2. Check the boxes for the period you'd like to display on the report.
  3. Select the correct date in the Report period in the upper left-hand corner.

I added a screenshot too.

Please let me know if you need anything else.

Is this or a similar option available on the desktop versions?

You’ve come to the right place, @Scott62556.

Yes, a similar report type is available in QuickBooks Desktop. You can customize the Profit and Loss report to display a comparison of data for the Previous Period, Previous Year and Year-To-Date.

Here’s how:

  1. Go to the Reports menu.
  2. Click the Reports Center.
  3. Choose Company and Financial tab.
  4. Select the Profit and Loss report.
  5. Click the Customize Report button.
  6. Choose Display.
  7. In the Add columns for section, choose:
    • Previous Period
    • Previous Year
    • Year-To-Date
  8. Click Ok.

Also, you can directly access the Profit & Loss YTD Comparison and Profit & Prev Year Comparison report. For more detailed steps, you may check this article: Customize company and financial reports.

Hi, this is helpful. Can I also add YTD budget and full fiscal year budget to this report? Basically, I'd like one report that shows:

1. Actuals current YTD

2. Actuals prior YTD

3. Budget current YTD

4. Budget - current full-year.

Hi there, @AMLBMO.

Thanks for joining the thread. I'm here to share some info about running the Profit and Loss (P&L) report with actuals and budget details.

We're unable to add the budget and actuals info in the P&L report for both QuickBooks Desktop (QBDT) and QuickBooks Online (QBO).

As a workaround, you can run the Budget vs. Actuals report, export it to excel one at a time with their specific report period, and then merge them from there. Please note that this report shows both the budget and actuals info.

To do this on QBO, here's how:

  1. Go to the Reports menu, and then choose Budget vs. Actuals under the Business overview section.

  2. Select the Report period in the drop-down ▼ say This Year-To-Date (YTD), and so on.
  3. Click the Run report button.
  4. Tap the Export icon, and then choose Export to Excel to continue.

To achieve this in QBDT, here are the steps how:

  1. Click the Reports menu at the top, and then select Reports Center.
  2. Tap the Company and Financial tab, and then type Budget vs. Actuals in the search bar.
  3. Click the Run button once you locate the report.

  4. Choose the type of P&L report you'd like to run, and then click Next.
  5. Select the report period, and then tap Next again.
  6. Pick Finish, and then select the desired date in the drop-down ▼

  7. Click the Excel drop-down ▼, and then choose Create New Worksheet.
  8. Select in a new workbook, and then hit Export to continue.

Once done exporting your reports, you can merge them to get all the info you need.

Feel free to check out these articles to learn more about it: Customize reports in QBO and QBDT.

Also, you'll want to memorize your reports in QBO and QBDT to save their customization settings and access them anytime you wish.
