Intuit Login for Accounting Staff

We are an accounting firm with a staff of 10. Pre 2021 we would set up their QB user name and passwords. Only the principals are pro advisors with Intuit Logins. 

 

Now after logging in, the staff are required to login into INTUIT as well.

1. How do we manage the staff INTUIT logins?

2. How do we connect them to our business? 

3. Why do they need 3rd party authentication when they have already logged into QB? We don't want them using a cell phone for a text and an email is such a PITA.

4. We all use admin from time to time to access admin only functions. But now they can't use admin with their INTUIT login because they are only "basic users". These are OUR FILES that the client does not use and if I want my staff to log in as admin then I should have to log into my INTUIT to do it. 

5. What is the purpose of this anyway? What a freaking Overreach by your software company. Now that you announced 2022 going to SUBSCRIPTION BASED only, my thought is you will start charging per company file or just want the ability to lock the user if they don't pay the yearly renewal. 

 

Any information on how to manage staff users is appreciated.

QuickBooks prioritize the safety of your account. As an added level of security, users are required to log in to their Intuit account every time accessing their QuickBooks Desktop (QBDT). An Intuit account provides a platform that controls users' access to all your Intuit connected services.

In regards to how to manage your staff Intuit logins and how to connect them to your business, you can add them as a basic user to your company file. To be guided, you can refer to the steps outlined in this article: Create and manage roles in QuickBooks Desktop Enterprise.

 

Additionally, you can also work with your accountant for additional advice on better ways to manage your staff. If you don't have one, you can visit our ProAdvisor page and will help you look for one from there.

Intuit Login for Accounting Staff

Thank you for the info. Problem is we are accountants and we manage about 150 Desktop Pro and Enterprise files. We use QB through a third party intuit commercial host server. Some clients file share but the majority we (our office staff) utilize and manage and the client does have access.

 

There is zero reason that my staff or anyone else would need authentication over and above the QuickBooks login in that we already authorize to them. They do not have an intuit account and will never need an intuit account as an employee of my accounting firm. 

Will Intuit make this optional in the future?

I hear you, and I can see the benefit of being able to let your staff access your clients' files without authentication over their QuickBooks login. We take customer suggestions as opportunities to improve the various features within our products. Therefore, I would encourage you to send suggestions or product recommendations.

 

Your valuable feedback will be forwarded and reviewed by our Product Development team to help improve your experience while using the program. Then, as a reference for something that they could consider adding as a feature in the future. Here's how:

 

  1. Go to the Help menu.
  2. Choose  Send Feedback Online.
  3. Click on Product Suggestion.
  4. Click on the drop-down for Type of Feedback and select Product Suggestion.
  5. Select the Product Area.
  6. Then enter your thoughts and suggestions.
  7. Once done, select Send Feedback

I agree this is overreach, suddenly all employees who use the Workforce to see their paychecks are "basic users" some are on the list 3 and 4 times.  What is up with this

I can share additional insights about the Basic User role you're seeing on your Intuit account, ddm2.

 

There is only one Admin user in QuickBooks Desktop. And, there are two admin roles available that you can manage in Intuit account user management.

 

Here’s the difference between the roles.

 

  • Primary admin: A primary admin can add/delete users, edit user roles, assign secondary admin roles to users, and transfer the primary admin role to another user.
  • Secondary admin: A secondary admin can add/delete users, edit user roles, and assign secondary admin roles to users.

 

Other users who only need access to connected services like Workforce are assigned a Basic User role. This is a required default role that’s automatically assigned to the user, and by itself doesn’t grant any permission.

 

I'm adding these articles as guide about setting up users and if you need to transfer admin role to another user.

I'm here to share some additional information about the basic user role in QuickBooks.

 

If you have users that regularly work in QuickBooks, you can add or invite them to a specific role. You want to be sure each user is able to access the areas of the program that they need to for their particular job and be restricted from sections that they’re not supposed to be able to view or edit.

 

Inviting an additional Intuit account user does not give the user access to the QBDT company file. Instead, he or she can access the selected connected services in use by the QuickBooks company file.

 

Here's how you can do it:

 

  1. Go to the Company menu, then Users and select Users and Roles.
  2. Enter the admin Password, then select OK.
  3. From the User List tab, select New.
  4. Choose a User Name and an optional Password.
  5. From Available Roles, select the users role then select Add.
  6. Click the User’s email address, then select OK.
  7. From the confirmation window, select OK.

Intuit Login for Accounting Staff

We manage 150 QuickBooks files and of those, only about 20 are file shared with the client. We don't NEED OR WANT additional login requirements for assigning users. We create the user with permissions in QB. Anything beyond, like the Intuit login with additional roles and permissions is time consuming and slows down our work.

We certainly aren't dumb enough to believe this is about Intuit protecting data LOL. If you were really concerned about data, you would have cared 4 years ago when your Intuit Commercial Host, AbacusNext's data center was hacked. But you didn't care and offered zero assistance and they are still one of your Commercial Hosts. Intuit forces accounting firms to use an "authorized host" with astronomical fees and then doesn't even care   when the data is compromised. But you care now........
