QBO payroll reset

I need to delete and restart my QBO account. A phone rep informed me that all payroll payments must process and the that our payroll subscription should be cancelled before deletion. The thought of deleting either account is paralyzing but especially payroll!

We have an automatic federal tax payment that was entered last week scheduled to clear next week, on the same day that we enter payroll transactions for the following week (salaried positions are automatic but hourly positions are entered each week).  Would this prohibit me from purging the account until the scheduled payment actually clears the bank?  If so, this would leave no time between when payments clear and when the next payroll is entered. Am I understanding this correctly?

QBO payroll reset

Hello there, @speaklife.

I'm here to share insights about deleting and restarting your QuickBooks Online (QBO) account.

As per what our QuickBooks phone representative has advised, you must first process all the payroll payments and cancel your payroll subscription before deleting your QBO account. It is to avoid duplicated charges when signing up for a new one.

Moreover, purging works only for 60 days or less old company upon signing up for QBO.  If your account is more than 60 days old, I suggest waiting until the bank clears the transactions before canceling your subscription to start over with a new one.

Furthermore, when you resubscribe to Payroll and QBO, you will need to reset-up everything, and enter prior payroll before you could proceed to the current payroll period.

For detailed information about deleting data in QBO, kindly visit: Delete your data and start over in QuickBooks Online.

Additionally, I'll also share this link where you can search for articles that can serve as your reference in managing your QBO account: QuickBooks Online Help Articles.

QBO payroll reset

Thank you for your response but Im still wondering about the timing.  If our payments don't clear until Thursday and our new data is entered on Thursday, how could I ever re-set the account?

Thanks for getting back to us, @speaklife

I'm here to provide details to ensure you can manage your QuickBooks data.

I can see that my colleague has already posted some information about the process of deleting data and starting it over in QuickBooks Online (QBO). Just to reiterate, you can find out more details about handling them. I recommend checking the articles that were shared.

Additionally, if your data is worth 60 days, you cancel your subscription and then resubscribe to create a new company. Before doing so, I recommend printing or exporting your data to keep a copy for future use.

If you have multiple QuickBooks companies, you can use the same login info to save time. This way, you can switch between companies easily.

I'm always around to lend a hand if you have more questions about managing your QBO account. Take care and enjoy the rest of the day.

QBO payroll reset

Hello there, @speaklife.

In QuickBooks, payroll will still proceed even if the account was canceled. Once the payroll was processed before the deletion it will go through. However, I would still recommend clearing out your payments before deleting and merging accounts in QBO to avoid duplicate charges.

I've added this article for more details: What happens to my QuickBooks Online data after I cancel?

Let me know how this goes and feel free to post here again if you have concerns accessing your account in QBO. I'll be right here to lend a helping hand. Take care always.
