Quickbooks offering clients the option to pay with other clients' credit cards

A week or so ago, I assisted a client by entering his credit card details into QBO to pay for his subscription.  Today I assisted another client...and was horrified to discover that QBO was suggesting that I use Client #1's credit card to pay for Client #2's subscription.  I had saved Client #1's credit card details, but in their own QB account, and not on the firm level. How do I fix this so that we don't have a situation in which my clients are disputing QBO charges on the basis of fraudulent duplicate charges?

No idea as to whether actual clients will be made the same offer (most of them set up payment themselves), though if this is the level of credit card security, quite possible they will be.

As an aside, I tried to chat with a rep to fix this. A Ma. Christine logged on, gave no response to my question and then just left the chat.

I'll help you fix this, CFOSecrets.

Did you encounter any error messages when you enter your client's credit card information? Any additional information will help me in providing the best solution to this problem.

In the meantime, let's go over some browser troubleshooting steps since stored internet files can often cause strange behavior like this. Please ensure that your client isn't part of your wholesale discount plan before we begin. Then, using an incognito window, log into your client's account. This mode doesn't save any site data. Here are the shortcut keys:

  • For Chrome, press Ctrl+Shift+N
  • For Firefox, press Ctrl+Shift+P
  • For Safari, hold down Command+Shift+N

If you succeed, go back to your usual browser and clear the cache to get rid of the undesirable data. You can also use any other supported browser to further isolate.

I've included this resource for more details: Manage billing, payment, and subscription info in QuickBooks Online.

For further reference, you can review this article to learn how to transfer the Master Admin role in QuickBooks Online: Change the primary admin user in QuickBooks Online.

You're always welcome to post a reply if you need further assistance with managing billing information. I'll keep an eye on this thread. Have a great day!

@CFOSecrets

If you help your client buy a new blank QBO account, your browser may "remember" your last transaction on the same Intuit screen. If you're always helping your clients to pay for their subscriptions, use a private/incognito browser and close the window when you're done.
