Add test Company by copying existing company

Hi all,

I'm used to using complex ERP systems and am new to QB.  Typically with a software license, you can also install a copy for testing (sandbox).  The test company universal to QB doesn't seem to have workflows enabled which is what I want to implement.  We have QB Advanced.

 

In looking at a older thread, it looks like we have to pay for each company and there's no way to copy data from one company to another.  Is that correct?  Do I need to do a 30 day trial for advanced even tho' we are an existing customer?

Hello, tracey. Welcome to the QuickBooks Community.

 

The workflows feature is not enabled in the QuickBooks Online (QBO) test drive, as you rightly pointed out. I'm here to answer your questions and provide assistance in copying one company file to a blank company.

 

There is a way to back up a company file and copy it to another blank company, a feature exclusive to QBO Advanced. Although each company file is its own paid subscription, you can avail another 30-day trial for a new QBO Advanced company which you can use to copy your original company file. 

 

First, you'll have to create another QBO Advanced trial company by signing in to your account and accessing the QBO's pricing website. Just a heads up, you'll need to enter your billing info to create one. After this, have your new QBO Advanced trial company file blank and ready. Please refer to this article for a detailed process for the steps I'll outline below, especially for Steps 1 and 2: Back up and restore your QuickBooks Online Advanced Company.

 

  1. For both source Company A and target Company B, turn on the Online Backup & Restore app for your QuickBooks Online Advanced data.
  2. Turn off automatic backup for Company B.
  3. Then, turn off all automation settings in both Company A and B:
    a. Go to the Gear icon, then Account and settings.
    b. Select Advanced, then Automation.
    c. In the Automation section, turn off each option, then select Save.

 

Next, we'll have to copy the Company file A to B. 

 

  1. Be sure to be signed in to Company A.
  2. Go to the Gear icon, then select Back up company.
  3. From the Action dropdown menu, select Copy... for Company A.
  4. In the As-of field, select the date and time of the backup you want to restore.
  5. Select Create Copy.
  6. Type Company B's name.
  7. Select Copy to confirm you want to overwrite Company B with a copy of Company A.

 

You will receive an email notification when the data transfer from Company A to Company B is complete. The duration of the process may vary depending on the amount of data.

Thank you.  I will try this out.

 

Another question, our existing account was set up with @traceykellogg as the Administrator.  She is no longer with the company. We updated all the contact information to me, but the forums still are showing Pam.  How do I fix?

I want to ensure this is taken care of. First, may I know which forum you mean? Any information can help us resolve the problem.

 

If you mean the Community forum, we can change it in the People icon in your account. Here's how:

 

  1. Sign in to Community.
  2. From the upper right corner, select the People icon drop-down menu. 
  3. Click My profile.

  4. Tap Edit under the Latest badges earned.

  5. Select the Username tab.
  6. Update the changes.
  7. Hit Change Username.
