Can I add a Customer filter to a Quick Report on the Advance Payments account?

The only filter available with the Customize button is the Distribution Account selected (Advance Payments). I can sort but not filter by Customer when I show that as a column.

Can I add a Customer filter to a Quick Report on the Advance Payments account?

Thanks for checking in with us, randall5.

Yes, you can add a Customer filter when running a Quick Report on your Advance Payments. Once you click the Customize button, it allows you to choose the Customer and Name field to select the customers' names.

If those options are not available, we can try signing in to your QuickBooks Online (QBO) account using a private or incognito window. This mode doesn't use the existing cache data and helps us confirm browser-related issues.

Here's how:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Option + P

Then, try accessing the QuickReport and customize it to Customer or Name fields.

If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime collection of data can create corruption, however, removing this should fix the issue. You can also use other supported, up-to-date browsers to roll out the possibility of a browser-related issue.

Another way to run the Advance Payments account report is to access the Transaction Detail by Account report. You can customize the report to Advance Payments account and filter it by customers or names.

Here's how:

  1. Go to Reports on the left side menu.
  2. Enter Transaction Detail by Account in the search field.
  3. Click the Customize button.
  4. Tick Filter.
  5. Choose the Distribution Account and select the Advance Payment account.
  6. Select the Customer or Name field and choose the customers' names.
  7. Press Run report.

Can I add a Customer filter to a Quick Report on the Advance Payments account?

Thank you for your extensive reply.  None of your suggestions worked.

Incognito window and cleared cache did not make a Customer filter available to me, and a search for a Transaction List by Account report showed information, but no customization button, and the transactions I sought, journal entries in the Advance Payments account for deposits and charges for sales, appeared as zero's in that.

Could it be that my QBO PLUS subscription denies me the reporting options I seek?

I attach image of screens I get trying to customize Adv Payments Quick Report and seeking Transaction Detail List, both without customer filtering capability.

Hello, @randall5.

Depending on the QuickBooks version you're using, there are different customer-related reports that you can use to meet your business needs. You can generate and customize the Transaction List by Customer report. It will display your transactions both income and expenses, grouped by customer.

Here's how:

  1. Go to the Reports menu.
  2. Type Transaction List by Customer in the search field.
  3. Press Enter
  4. Click the Customise option at the top right.
  5. In General drop-down, change the date in the Report period section.
  6. In the Filter drop-down, pick Payment in the Transaction Type drop-down.
  7. Hit Run report

Once done, you can now export the report to Excel. You can refer to this article for more detailed steps: Export your reports to Excel from QuickBooks Online.

Can I add a Customer filter to a Quick Report on the Advance Payments account?

I do not have a "Transaction List by Customer" when I search for it.  Prior email in thread shows what I get from the transaction list, which shows but does not identify name posted with the journal transaction of Debit Advance Payments/Credit Cash made with the Name=Customer Global Foundries.  Also I have no means of filtering this by Name or Customer.  Is this a limitation of the PLUS version of QBO?

Can I add a Customer filter to a Quick Report on the Advance Payments account?

Thanks for following up with us, @randall5.

The Transaction List by Customer report isn't available in our Simple Start version of QuickBooks Online. Check out Report comparison between subscriptions for a list of reports that are offered for your version of QuickBooks.

However, since you're having issues pulling these reports after following all the steps provided by my colleagues above, I recommend contacting our technical support team. Tech support has the tools available to review your account in a secure environment and will investigate this strange behavior further. I've included the steps below to contact support.

 1. Click on Help (?) in the top right corner.

2. Hit Contact Us at the bottom.

3. Enter your concern and select Let's talk.

4. Choose the way to speak with support.

Don't hesitate to let me know if you have additional questions or concerns. It's our goal to get you back to business every step of the way. You can reach out to the Community at any time. Take care!

Can I add a Customer filter to a Quick Report on the Advance Payments account?

Thanks for your help.  I now realize that I am paying $25/mo for the Simple Start version after our initial promotional discount, not the Plus version that I thought I had from the promotional price for that.  This explains my inability to get the report I want or to follow the helpful instructions I have received from two prior advisors.

We  are a two-man company, and it is not worth another $500/year to save a couple minutes/month to maintain an Excel sheet I can use to get the report I want.
