Can I delete a user so they don't have any access without deleting all of their activity from the activity log?

Thanks for reaching out to us here in the Community, @mikerpmplumbing.

That's a great question! Let me share some information about deleting a user in QuickBooks Online (QBO).

Yes! Deleting a user in QBO will not remove their activity from the Activity Log/Audit Log. To delete a user, here's how:

1. Click the Gear icon at the top, then pick Manage users under Your Company.
2. On the right side of the user's name, select the Edit drop-down under ACTION column, then Delete.
3. Confirm you want to delete the user by selecting Delete again.
4. You'll receive an email confirming the deletion.

For your reference, you may check out this article for more information: How to add, delete, or change a user's access.

That should help you delete a user in QBO. Please let me know how it goes or if I can be of additional assistance. I'm only a post away if you have follow-up questions. Wishing you and your business continued success!

I am not able to get the option to delete a user.  I am in my admin mode.  Under the Gear option, there is nothing for "Manage Users."

Thanks for jumping into this thread, mclaxton2.

Admin user has access to all features of QuickBooks Online and that includes the Manage User option. Since you're not seeing this even if you're already logged in as the company admin, I suggest we perform some basic troubleshooting steps.

Let's start by using a private browser. Since this type of browser doesn't keep files in it's cache, it's considered to be a good place to start the isolation of this issue.

Here are the keyboard shortcuts depending on the browser you're using:

  • Google Chrome: Ctrl + Shift + N
  • Microsoft Edge: Ctrl + Shift + P
  • Firefox: Ctrl + Shift + P
  • Safari: Command + Shift + N

If this works fine with Private Browsing or Incognito window, go back to your original browser and clear the cache to make sure your browser functions more efficiently. Otherwise, you can also try switching to another supported browser to be thorough.

In addition to Fritz's given article, you can visit this link to learn more bout the different types of users in QuickBooks Online: User types and user permissions in QBO.

You might also want to visit our QuickBooks Online learning guides for tutorials and webinars about the product.

Drop me a reply if I can help you with anything else. Hope you have a good one.

Hello,

So can you please confirm that deleting a user will NOT delete any company files they have been working on?

Thanks so much!
