Hello everyone,
I hope that you and your families are all well, healthy and safe in this craziness we're all going through!
I have QB 2018 premier edition and have been using the email feature with my G Suite account (same as Gmail settings) which had worked great for years even in previous version of QB.
Today I tried to send out an invoice and got a login window (as I sometimes did before) but it looked a bit different.
I entered my password as usual but kept getting the above window. I know I had the right credentials so I then clicked on the "these steps" link which just brought me to the GSuite/Gmail "less secure" configuration explanation for APPS which is not my case.
I suspected that this was because G Suite is no longer letting me connect less securely via the email configurations in QB. so I then went into the email settings in QB and selected the more secure way to connect.
then the login window appeared but I could not change the email address in the "login" ( one was already filled in) window that popped up. I've tried every way to china to change it without success and even went to the account section to do it and no luck.
I have no idea where the software is pulling the account (email) in the window from. It is a legitimate email address but not the one used in QB (QB ID). I suspect it's the email I used to originally register the software but cannot tell for sure since it's a while back.
Can someone please let me know how I can change the email to the correct one so I can start using the more secure way to send out my invoices?

I also appreciate all the details and screenshots that you've shared in your post. Let's review your settings and filter preferences in your Gmail account. Something in your settings might be blocking the emails from being sent from QuickBooks.
First, check your app preferences. Here's how:
If you still can't send emails, you can turn off the 2-Step Verification feature for your Gmail account. Then, send another invoice to check if that would go through.
Second, your antivirus software may accidentally block the connection. Search your antivirus provider's website for steps to allow port exceptions. Here are steps for Norton and McAfee. Use Port 587 open for Gmail and all other email services
If you use McAfee, open your antivirus program and check your Excluded Processes list. Add these names to the list so they can run freely:

I've continued to troubleshoot this as per your recommendation and have found that it is google that is blocking access to QB since the setting I originally was using was of the "less secure kind". The AV used is the built in Microsoft defender and the proper access has been already given and that didn't help.
I would prefer not to let "less secure APPS" have access to my account and would like to use the more secure option available on the screen shot I've provided.
I will follow your instructions to "set access preferences for specific APPS" to see if that works but would appreciate a solution to being able to remove the email in the login window so I can use the more secure option.
As far as 2FA , the account doesn't have 2FA enabled.

After further review of your recommendations I found that the less secure option will be removed altogether.
Due to this the "less secure" option will not be an option for me so I'm still on the trying to resolve my original issue which is how to remove the incorrect email from the login window as to configure the secure email capabilities in QB.

I am having the exact same problem, and nobody at Intuit support has been able to help solve this issue after HOURS on the phone getting the same troubleshooting page they sent you.
Their solution for me was to pay $1,000 to upgrade to 2020. Guess what? Same problem. Even after a clean install on a server that never had Quickbooks installed.
The support reps do not understand that GSuite is different from GMail; but is hosed by Google. It is lost on them that there is no longer a way from the GSuite interface to allow less secure apps.
That is why you are getting the first screen.
Guessing I Will be on the phone for untold hours tomorrow trying to get this $1,000 upgrade working.
Is it possible to use G Suite with Quickbooks Online? I have downloaded Quickbooks in the G Suite marketplace but cannot seem to get it to be an add-on where I can send invoices from G Suite and move seamless around. I purchased G Suite for these capabilities.

I am not trying to transfer data. I am simply trying to use the same email account that I have been using since 2013....

Third-party apps like G Suite are the ones that configure the settings to ensure that they can integrate with QuickBooks Online. It would be best to contact them for further assistance.
Aside from that, you can also ask guidance in the Intuit Developer forum. There are engineers, developers, and other QuickBooks users that can help you get through with the process.

Google has increased their security protection on GMail/GSuite, and Quickbooks isn't using adequate security. It's a Intuit-Quickbooks issue, not a Google issue.
A lame workaround is to reduce security in Google to match Quickbooks, by setting "Less secure app access" to ON at https://myaccount.google.com/u/1/security
A better option is to authorize Quickbooks to use Google Webmail... in Quickbooks, go to Edit>Preferences>SendForms and edit your GMail/GSuite setting to send via GMail/GSuite webmail. Now Quickbooks will be listed in Google's approved Third Party App's at https://myaccount.google.com/u/1/security and you can turn "Less secure app access" OFF to protect your Google account.
The best option is for Quickbooks to log this issue and have their developers use a more secure method for sending emails through Google. That doesn't involve telling Quickbooks customers to "ask Google to help". So I opted for the better option above.
Quickbooks Desktop Pro 2018/ Gmail been sending invoices for Years -except now - All settings are set as per the MULTITUDE of articles I've pored over the last WEEK OF INTERRUPTED WORK TIME. STILL gives the popup error of Incorrect Credentials.
Provide a fix that is not already outlined in the existing articles, as error is Still occurring
qb desktop pro 18/gmail user here. these described settings are all in place and STILL NOT SENDING - getting same popup of incorrect creds even with correct creds..........................

Let's update your QuickBooks Desktop to the latest release, then remove and reset up the email. It ensures removing this prompt of the pop-up of incorrect credentials.

Then, if Gmail is blocking sign-in attempts to your Google Account, you will have to enable access for less secure apps and turn off two-step verification for QuickBooks to have the right permissions to send emails using your Gmail account.

I am not see "allow less secure apps" on my google account so that I can adjust and then send invoices. I have looked all over and dont see. Can you please help

We'd want to sort this out so you can email your invoices using your Gmail account, Elamira.
However, it's best to reach out to Google's support team about this. This is because they need to take a look at your Gmail account and check why you're not seeing the option to allow less secure apps.

I don't actually know how that got turned on, but now that I turned it off. I can now send invoices and I can now see "allow less secure apps".
I am worried that in the future as more and more hackers try to get into gmail accounts and google keep adding layers of security that we will not be able to send invoices in the future. What do we do then? Heavens to Betsy!

Thank you, turning off 2 step verification did the trick. I am actually not sure how it got turned on the first place. I can now see "Allow less secure apps" in my google account.
I am wondering as more hackers try and get into people google account and google adds more and more layers of protection, if will we not be able to send invoices thru quickbooks anymore. Heavens to Betsy if that happens.

What happens with QuickBooks then as far as emailing invoices? That is a mandatory feature of QuickBooks -
