I am trying to pay my sales tax from July, but my sales tax reports are saying I have $0. Any ideas on what is wrong and how to fix?

Hello there, @Twistedn2. I'm here to help you fix the calculation of your sales taxes in QuickBooks Online (QBO).

The accounting method affects how sales tax is calculated and reported in financial statements and tax filings. If you choose the cash method, sales tax is recognized when payment is received. In contrast, if you select the accrual method, sales tax is recognized at the time of the sale, regardless of whether payment has been received.

We can review your Sales Tax Settings if they are set up using the Accrual method. It's essential to consult with an accountant before doing so to ensure that everything remains accurate after any changes.

Follow these steps to proceed:

  1. Go to the Taxes menu.
  2. Tap Sales Tax Settings.
  3. Choose the tax agency you used for that invoice and click Edit.
  4. Ensure the Reporting Method is set to Accrual.
  5. Select Save to save the changes.

If it's correctly set up and the issue persists, I suggest logging into your account through a private/incognito window. The private window will not save any history, making it an excellent place to identify browser problems. Here are the shortcut keys:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Shift +N

Once you're in incognito mode, double-check the calculations of your sales taxes. If you can see it using a private browser, go back to your regular browser and clear its cache or cookies to get a clean slate for your browser. Otherwise, using other supported browsers can be a good alternative too.

In case you need to check how much sales tax you owe, we can run the sales tax liability report to ensure accuracy before filing your tax return.

I'm always here to assist if you have any other questions about managing sales taxes in QBO. Just let me know by leaving a reply below. Have a good day!

Thanks for reaching out to the Community, Sandi2551.

Since your sales tax reports are showing $0 owed, I'd initially recommend checking the Report period and Accounting method entered on your reports. These filters can be used to customize reports. Depending on what you enter for them, they can make a report display different information.

The Report period is your date range. This controls which dates are included in the report. Your Accounting method option specifically affects sales taxes. When you use the cash basis method, you report income when it's received. With your accrual basis method, you report income when it's billed.

If everything's looking right with the report's Report period and Accounting method, you'll want to check your sales tax set up.

QuickBooks automatically calculates the total sales tax rate for each sale based on:

  • Where you sell and ship to.
  • Your customer's sales tax exempt status.
  • Your product or service's sales tax category.

You'll want to make sure you've told QuickBooks where you collect sales tax.

Here's how to set up where you collect sales taxes:

  1. In the left navigation bar, go to Taxes, then Sales tax.
  2. Click Use Automatic Sales Tax.
  3. Your business name address will be displayed if you've entered one. In the event it isn't, enter your business address in the address fields.
  4. Hit Next.
  5. When asked if you need to collect sales tax outside of your state, choose Yes or No.
       • If you picked Yes, enter another state where you collect sales tax in the Select an agency field or use your Drop-Down Arrow (▼) to see all options for cities and states. Repeat this process for any city, county, or state that you need to collect sales for.
  6. Press Next, then close the window by clicking X. You can also go to Create invoice if you'd prefer to.
  7. When prompted, specify how often you file in your Filing frequency ▼ drop-down list.
  8. If you collect sales tax for more than one location, hit Next agency and continue specifying the filing frequency for each of them.
  9. Select Save.

In the event you've already set up where you collect sales tax, and instead just need to add more tax agencies, the steps will be a bit different.

After confirming QuickBooks has a proper understanding of where you collect sales taxes, next you'll want to continue checking each part of your sales tax setup by making sure tax categories are correctly entered for products and services.

I've also included a detailed resource about paying sales taxes which may come in handy moving forward: Manage sales tax payments

Please feel welcome to send a reply if there's any additional questions. Have a great Thursday!

I'm having a problem with the sales tax calculation. The sales tax accrual is being based on the due date of the invoice instead of the sales date. Therefore a 7/9/2023 sale with a due date of net 30, is showing up as an August sale.

As I check our database, I found out that this is a known ongoing issue that has been reported INV-93396 . Looking into this issue, you are not the only customer experiencing this issue. This kinds of issues are given the highest priority by our product engineers.

so when will this be fixed?? why did it take 1.5 month and still not fixed ?

why is this so difficult for software to calculate, all data is there and its generating reports.
