Where can I find the transaction journal entries for our customer invoices, using Quickbooks online? I need to see how the invoice that is imported uses each account, and how to map the correct account numbers to each transaction line. I don't see where Quickbooks online allows that access for more than a general knowledge of accounting.
Hello, BCAaccounting.
There are two ways to locate the transaction journal entries for invoices in QuickBooks Online. I'll lay down the steps to help you find them.
We can open a certain invoice, then check the transaction journal information from there. Here are the steps:
If you need to check multiple invoices, we can use the customized Journal report instead:
Both methods allow us to see the accounts associated with the invoices, including the debit and credit columns.
About the account numbers, I take it that you're also trying to see them in the journal. In this case, we'll just want to make sure to enable it in your settings and ensure they are showing in your reports.
A guide about enabling and using them can be found here: Use account numbers in your chart of accounts in QuickBooks Online.
After managing those invoices, I'll also add this article if you need help creating customer statements: Create and send customer statements in QuickBooks Online.
You can reply here again if you have more concerns about your invoices and how the accounts affect your books. My team and I will be around to help.
In the first solution, my invoices do not show a more button to see the individual invoice journal. The second solution in reports pulled the information that I needed to see the transaction journal entries.
For the account numbers, the sales tax for one state is going to the correct account number for sales tax liability. However, another state is going to a generic Sales Tax Agency Payable. When I click on it, it just takes me to the invoice, not where I can edit the account number to the correct sales tax liability account. It sometimes goes the correct state, sometimes to the generic.
Hi there, BCAaccounting.
I imported a couple of invoices in my account and I'm getting the More button when I opened it. Can you share a screenshot or tell us what you can see in your invoices? We just want to make sure that we are giving you the right information and steps to sort this out.
Please reply back to us to share more details. We look forward to it.
Sorry for the bad screen shots. This wouldn't upload jpeg or pdf.
Hello there, @BCAaccounting.
Thank you for getting back to us and giving us a screenshot. I'll make sure you'll be able to see the More button when opening an invoice.
Based on your screenshot, you are on the right track. You can then click the Edit Invoice button to open it. You should be able to see the More button at the bottom part of the invoice screen. See the screenshot below.
For future reference, you can read this article about recording invoice payments: Record invoice payments in QuickBooks Online.
Let me know if you have questions about managing invoices in QuickBooks Online. I'm always here to help. Have a great day.
My edit invoice screen does not look like your example. I need to edit the sales tax amount and account that it hits. When I go to the invoice, edit, I change the sales tax, but then it won't let me save my changes. It doesn't show me the transaction and/or give me the option to edit.
Thanks for getting back with the Community, BCAaccounting. I appreciate your detailed information and screenshot.
In the screenshot you've included, you'll notice there's a Save button on your invoice editing screen. After making the necessary changes, try selecting Save and see if you're able to save your updates.
If clicking the Save button doesn't do anything, I'd recommend checking your browser. It's possible this could have something to do with temporary internet files. Browsing applications store these types of records, but sometimes they can cause issues with certain webpages. You can open a private window and check to see if the Save button on your invoice editing screen is working.
Here's how to access incognito mode in some of the most commonly used web browsers:
If you're able to save your changes while browsing privately, it's safe to say this problem's being caused by the browser. It can be fixed by clearing cached data and Intuit-specific cookies.
In the event your Save button continues not functioning properly while browsing in incognito mode, you'll initially want to try switching to another browsing application.
Here's a list of supported browsers
You can also check a browser's compatibility with QuickBooks by utilizing our browser health checkup tool. QuickBooks supports the current and two previous versions of browsers. If you find that you're using an unsupported version, make sure to update it to its latest release. Steps for doing so can be found on the particular company's website.
In the event you've found no problems that could be causing this with your browser, you'll want to check the operating system and internet speed you're working with.
Here's our recommended operating systems and internet speeds:
If you meet our system requirements, but are still encountering pages that aren't loading properly, I'd recommend using a different device and/or internet connection. If it continues happening on other devices and internet connections, you'll want to get in touch with our Customer Care team. They'll be able to pull up your account in a secure environment, conduct further research, and create an investigation ticket if necessary.
They can be reached while you're signed in.
Here's how:
Be sure to review their support hours so you'll know when agents are available.
I've also included a detailed resource about system requirements for QuickBooks which may come in handy moving forward: System requirements
If there's any questions, I'm just a post away. Have a wonderful Friday!
I have had the same trouble, with the “More” option not appearing at the bottom of the invoice screen. I use QBOA, and this only occurs in some files that seem to be updates to a more “modern” view. Either business view or accountant view is the same. I use Firefox browser, but this cannot be the issue as it happens in some files and not others. Please intuit stop changing our view and moving things around, or at least give us the option to update if we want to (or not). Can someone please tell me how to get the transaction journal on individual invoices like I used to in these effected files.
I understand what you feel, @LindaJB.
I'll go over some details to help you get around it to keep you going with your task.
Usually, the More option appears on the created invoices, where you can pull up a transaction journal. So, it doesn't show up when you're still making the transaction.
If the issue persists, I recommend contacting our Customer Support Support Team so they can securely check your account with their tools and find the root cause of this issue. Here's how you can contact them:
Just ensure to check our available hours when reaching out so your concerns will be addressed promptly.

Thanks, nope, not creating the invoice, just opened already created invoices. The format is different in some files and not others. I’ll contact support. Thanks.
