Hello, michal2.

In QuickBooks Online (QBO), you can set a Standard user with limited access in which they will be able to view other reports, but not the financial reports.

To add a standard user, here's what you'll need to do:

  1. Click the Gear icon at the top.
  2. Select Manage Users
  3. Tap Add user.
  4. Pick Standard user and hit Next,
  5. Choose Limited and put a checkmark on Customers, then Next.
  6. Set the users settings, then select Next.
  7. Enter the new user's profile.
  8. Hit Save.

Take a look at this article to learn more about user types and permissions in QBO: User types and user permissions in QuickBooks Online.

Once done setting up, have the user check their email to accept the invite.

Please let me know if you need more help. I'm always around to help. Have a great day.

Would this user be able to see time reports for all QBO users? And can they see financial reports -- P&L, Sales, etc?

Hi michal2!

Thanks for the reply. I'm here to further assist you in setting up a user in QuickBooks Online.

You can give limited access to Standard users but it's related to customers and vendors. This means Standard users can access other financial reports.

You'll want to add them as time tracking-only users. With this, they can enter their time and access only the Time Activities by Employee Detail report. However, they can only see their own data from this report.

Currently, there's no specific user access that allows them to see only the time reports with other users' data. Please check these articles for your reference in setting up a user in QuickBooks Online:

I added this link if you need help in pulling up, customizing, and saving reports: Run reports in QuickBooks Online.

Post again here if you have additional concerns in adding a user. Thanks!
