Are you inputting Name when you do entries?  Can't get output without input.

Thanks for dropping by the Online Community. I’m here to clarify why you’re unable to see the name on the reports.


As mentioned by @Teri, make sure to select a name for it to show on the journal entry. When running a report, you’ll have to click the transaction related to it and it will route you to the Transaction Report.

 

Check out these screenshots for visual reference:

From there, refine the report to see the actual name whether it’s a customer, vendor or employee. To visually guide you through the process, check out this article: Customize Reports and Email.

 

To customize:

 

  1. Go to Reports on the left panel, then select the report you're working on.
  2. Double-click on the transaction.
  3. On the Transaction Report page, click on the Gear icon in the lower right hand.
  4. Mark the boxes for Customer, Vendor and Employee.
  5. Click anywhere for the changes to take effect.

That’s it. The information I provided should point you in the right direction.

This process does not work. Why even bother having a Name field in the journal entry if it does not show up anywhere including a vendor transaction report? 

 

Clearly this is a glitch that needs to be fixed.

I can share some insight into a vendor transaction report.

 

Although this would be very helpful to other users like you,  this feature isn't available at the moment. However, you can add different fields to the report.

 

Here's how:

 

1. Go to the report.

2. Press Customize in the top right-hand corner.

3. Click Rows/Columns.

4. Select Change Columns.

5. Choose what kind of fields you would like to have on the report.

Thanks for the advice, but I just don't get why only half of the transaction would be included in the report. Why show the date, transaction type, and number but have the amount field blank? I guess it is better than completely dropping the row because at least it alerts me that there is an error in the report and I know where to go look for it.

Let me join in and help with running a report for Journal Entries that shows the amount as well. You may run a Journal Entry Report and Customize the report.

 

Here’s how:

 

  1. Choose Reports.
  2. Search for the Journal Report in the search bar.
  3. Click Customize, then make the following customization.
  4. Pick Run Report.

Seriously, this is so frustrating. QuickBooks Destop had a report called "Income by Customer Detail" that showed all line items for invoices, journal entries, etc. When I try to pull the "Transaction by Customer" report in QBO the journal entry lines are there but the amounts are blank, so I can't see a net amount by customer. How is this not available, when it used to be??

Hi @atalutis,

 

The Transactions List by Customer report shows the invoices and their payments. Though, it doesn't show the details of the transactions. This is why you’re unable to view the amounts.

 

You can run Transaction Detail by Account report, let me guide you how.

 

  1. Go to the Reports menu.
  2. Search for Transaction Detail by Account report.
  3. Click the Customize button.
  4. In the Group by section choose Customer, and add the Account column in Change columns link.
  5. Hit Run report.

I was looking for the same information / total paid to vendors in any given timeframe to include vendors recorded in journal entry transactions.  I was able to get this by customizing a report as follows (Quickbooks Desktop):

- Select "Reports"

- Click "Vendors & Payables"

- Click "Vendor Balance Detail"

- Click "Customize Report"

- Scroll down under "Columns" and put a checkmark next to "Name"

- Click the "Filters" tab and select "Account", then under dropdown select "Current assets and expenses"

You may adjust the report for specific timeframe but report also gives you total paid to date.  Hope this helps.

The Mentioned info was understandable however when we run the Supplier account the journal entry doen't appear.

I have this same stupid issue, I hope they fix this...its stupid to have name inputted in the data entry but the report just shows blank....

If you are referring to the Supplier account that doesn't appear in the Journal Entry report, we can customize the report by Account. Let me show you how: 

  1. Go to Reports on the left side menu.
  2. Search for the Journal Report in the search bar.
  3. Click Customize, then make the following customization.
  4. Tap Filter.
  5. Choose Account and select the supplier account on the list. 
  6. Tap Run Report.

 

We can also export the report to Excel to modify the columns and come up with the data you need. On the report, click the Export icon and choose Export to Excel. You can also customize the report before exporting them. Once you have the perfect set of filters, save them so you can run the same report in the future.

  1. After you customize a report, select Save customization.
  2. Give your report a name.
  3. Select Save.

how come when i create a journal entry and  i choose a vender from the drop down list in the name field that transaction doesn't show up when i go over to the vender when i go over to the vender screen.

Since your vendor's profile isn't showing the journal entry transaction record, I'd recommend getting in touch with our Customer Care team. They'll be able to perform a screen sharing session to see how your accounts and transactions are configured, then conduct further research into why it's not displaying on the vendor screen.
 

They can be reached while you're signed in.
 

Here's how:

  1. Use the Help (?) icon.
  2. Click Contact Us.
  3. Enter a description of your situation in the What can we help you with? field, then hit Let's talk.
  4. Select Start messaging or Get a call.

Ideally you should be posting AP invoices through AP. JE's should only be used for transactions that do not have a specific accounting function.  That is what is taught in accounting 101 and I agree is best practice.

I've been having the same issue where the line item from the journal entry that has the vendor name selected doesn't show up anywhere in the actual vendor transactions.  I've read through all the comments, but can't find the one from "Kpohl1" that is mentioned in this comment.  What was the final solution to correct this problem?

Firstly, if you're viewing Vendor transactions from the Vendor profile, it's important to note that journal entries aren't classified as Vendor transactions and don't naturally appear in the Transaction List in the vendor profile, unlike bills, checks, or expenses.

 

On the other hand, if you're viewing Vendor transactions from vendor reports, the appearance of journal entries in the vendor reports will depend on the lines affected in the journal entry.

 

To assist you further, I'd like to ask what accounts are affected by your journal entries. This way, we can provide precise guidance on running and customizing vendor reports to display the journal entries associated with a specific vendor.

 

Additionally, it's worth mentioning that Kpohl1's response was posted four years ago and the process for customizing the Vendor Balance Detail report to show journal entries with a specific vendor has some recent changes.

 

For now, please ensure that your journal entries are accurately selected. Then, run a Transaction List by Vendor Report. This report filters some significant details as to what @Kpohl1 suggested.

 

Furthermore, you can memorize this report if you want to save its customization settings and easily access it in the future.
