Hi there, rmiga.

I understand how inconvenient it is for you to enter the correct date when creating invoices. Allow me to help and make sure the invoice date is set to the current date.

When creating the invoice, it should automatically prefill the current date since QuickBooks uses the system's date from your Mac system preferences. To resolve this issue, log out of QuickBooks and go to the Apple menu to automatically set the default date. This also allows us to ensure that the system's date is current.

Here's how:

  1. In the Apple menu, click on System preferences.
  2. Select View, then choose the Date & Time.
  3. Enter the administrator name and password if the padlock at the bottom of the window is closed.
  4. Change the date and select Set Date & time automatically to set the date and time according to one of Apple's Network Time Protocol( NTP) servers.
  5. Exit the system preferences then launch QuickBooks.

Once done, check the date to see if the date has changed. If it does, QuickBooks will use the updated date for any future transactions.

I also recommend that you update QuickBooks Desktop to the latest release so you'll have the latest features and product improvements.

Let me know how it goes by clicking the reply button below. I'm always willing to help. Have a great day!

Thank you for the reply. This does not make sense. because when I sign into my old version of Quickbooks there is not an issue with the date in my older version. So, it is not related to my Apple computer date settings. My system preferences already match auto settings. (Note: I did not migrate my older quickbooks version, I started fresh with the 2024 version so I currently have both versions on my computer until I complete my 2023 taxes.)

The version is up-to-date. This is the message I get when I check for updates: QuickBooks 23.0.2.528 R3.2 is currently the newest version available.  I have signed out and signed back into the program multiple times to see if that will resolve the issue and it has not.

If you have other suggestions, please let me know. Thank you again for your reply.

Thanks for getting back to the thread, @rmiga

Let me join in this conversation and provide further clarification about the invoice date.

How QuickBooks populates invoice dates depends on the date that was set on your computer. Also, the system follows the date of your last transaction. To refresh the program, I'd suggest closing QuickBooks by clicking the X button and reopening it again.

You can also perform a force quit to stop the application from running, then reopen it again. Here's how:

  1. Choose Force Quit from the Apple menu (or simultaneously press the Command + Option + Esc keys).
  2. In the Force Quit Applications window, select a QuickBooks program and select Force Quit.

To open a sample file in QuickBooks Desktop for Mac, follow these steps:

  1. Open your QuickBooks Desktop Mac.
  2. In the No Company Open window, navigate your cursor to the Open a sample file section and click the dropdown arrow.
  3. Select a sample file and follow the on-screen instructions to finish.

In addition, you can turn on electronic payments in QuickBooks Desktop for Mac so your customers can pay you online.

QuickBooks Team,

Can you help me with the similar issue I have? We purchased the QB Mac 2024 but were trying to finalize last year's book and needed to enter some invoices with the 2023 date. When I enter the date, it changes to today's date. I tried to select from the calendar or enter manually but as soon as I hit the tab to go to the next field or click on another field, it changed to today's date.

I tried to fix the issue by changing the date of my computer to last year's date but when I open the quickbooks it is opening in view only mode and does not let me save anything. So, changing the computer date did not help.

Thank you in advance for your help.

I appreciate you getting back to the thread and performing the steps provided by my colleague to rectify the date-related issue you are experiencing in QuickBooks Mac 2024. Let me provide you with some additional steps you can take to resolve this problem.

Verify your QuickBooks preferences to ensure they are set up correctly. Ensure that the system date is selected and that no restrictions prevent you from entering past dates. After entering the date, press Enter or Save instead of tabbing to the other field. It may help prevent the automatic change to today's date.

If the issue persists, I recommend contacting our QuickBooks Mac support team for assistance. They can provide more specific guidance based on the version you are using and may be able to offer a solution tailored to your situation. Here's how:

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Help.
  3. Select Contact Us.
  4. Give a brief description of your issue, then click Continue.
  5. Sign in to your Intuit account, pick Continue, and then Continue with my account.
  6. Choose to chat with us or Have us call you.

Thank you for the quick reply but this did not help.

- QB Mac 2024 does not have Preferences but it has Settings.

- There is no Date or Time setting in the Setting menu

- Under Settings > Transactions, there is an option that states "Use current date as default for new transactions" but it was unchecked. I tried to check that and restart quickbooks but it was the same. In both situations I entered the date and hit Enter instead of moving to another field using tab or mouse but it did save the transaction with today's date again. Basically it will change it to today's date instantly and then save the transaction.

I am stuck and don't know how to record an older date than today's date for my transactions or invoices.

Hello, @Kevin2024.

Let me provide you with some information regarding the process of adjusting the dates of past invoices.

Enabling the Use current date as default for new transactions setting automates the process by having QuickBooks enter today's date for new transactions while leaving it unchecked allows for continuity of dates from previous transactions.

If this doesn't fix the problem, you can run the Verify and Rebuild tool to help identify if this is a data integrity problem. Here's how:

  1. Select File, then select Utilities.
  2. Select Verify Data, then select OK to close all windows.
  3. If you see “Your data has failed the integrity check,” you need to rebuild your file to fix any errors or data damage that's found.
  4. Select File, then select Utilities.
  5. Select Rebuild Data, then select OK to close all windows.
  6. QuickBooks will ask you to make a backup before rebuilding your company file, select OK. If you don’t want to do a backup, select Cancel to continue rebuilding your company file.
  7.    a. If you haven’t set up any backup preferences, QuickBooks will ask you to update
  8.      them. Select Backup Preferences and edit as needed, then select OK.
  9.    b. When the backup's finished, select Show in Finder to locate the backup or select OK if you’re done.
  10. Once the rebuild is finished, select OK.

It's also best to ensure that you have the latest features and fixes available. Let me add this reference in updating your QBDT for Mac 2022 software: Update QuickBooks for Mac to the latest release.

Unfortunately it is still the same. I verified the data and showed "No problem have been detected in your QuickBooks data". Any date I put in the invoice other than today's date it is switching to today's date before saving transactions.

@Kevin2024

Try opening the sample file and registering data with old dates. Did you encounter the same problem?

Kevin2024
Level 1

Quickbooks Desktop 2024 for Macbook

Yes, it has the same problem but instead of taking today's date it is taking the date of last invoice. I opened the sample file and went ahead to create an invoice. The last invoice was dated 23-12-15 and tried to change it. Every date I input, it is switching back to 23-12-15 before saving or moving away from the date field. I opened one of the older invoices dated 23-12-12 and same thing, any date I input it is switching back to 23-12-12 (the original date). I tried to create a new invoice with a 23-12-30 or 23-01-30 date, but it does not let me put any date other than 23-12-15.

So, in summary, the new invoices take the date of last invoice, 23-12-15 and old invoices date can not be edited to another date, it is switching back to the date they were already saved at.

Thank you.

I just installed the 2023 version from the link you provided. It has exactly the same issue. New invoices can be recorded only with the date of last invoice in sample file, 23-12-15. And also any of the invoices dates can not be changed. As soon as you try to save or go to the next field it is switching back to the date it was recorded before.

Sure - I'll take a shot.  I noticed that you have the date "23-12-15".  With the Year first. macOS allows for various international date formats. QuickBooks Mac predates many of these. We've tried over the years to expand the supported date formats but I'm wondering if this may be a bug with the YY-MM-DD format.  I know we were unable to support MM-DD-YYYY format as there isn't enough room in many of the date fields to accommodate the additional two characters and correcting for that across every screen in the product turns out to be a huge amount of work.

Try setting your date format in System Settings to be MM-DD-YY and see if that fixes the problem.  The date should be either the last date you entered in a transaction or the current date depending on your Preferences settings.

FWIW: The menu was called Preferences… in previous macOSs but as of some recent macOS version Apple changed it to be Settings… to better match iOS.  Apple actually went in and replaced the word "Preferences…" with the word "Settings…" at run time.  This apparently caused issues to Apple then stopped doing it. Which made for a very confusing situation. We've updated QuickBooks Mac to use the word "Settings…" in newer versions.

By the way, if the problem does turn out to be YY-MM-DD format let us know and we'll try to reproduce the issue and fix it.

THANK YOU SO VERY MUCH. This fixed the issue. I went to my Apple Settings > Date & Time and saw by default the date format was YY-MM-DD. The correct location was not selected. I uncheked the option that says "set date and time automatically" and I changed the location to my location and the date format changed to MM-DD-YYYY format itself. Then I opened the QB2024 and tried to update/record an invoice with last year's date and it worked fine as my QB 2016. Now, we can use the new version. I was about to ask for a refund since we could not use the software. But now we are good. Thank you!

I'm here to add details about changing the date in QuickBooks Desktop Mac, Qadriinc.

Insights were already on this thread. Do you happen to have some error message when changing the date? To provide the appropriate response, share with us the exact error you're getting. A screenshot would be great.

In the meantime, you can run a verify and rebuild data tool to self-identify data issues within a company file and self-resolve them. Please refer to the steps below on how to do this.

To run Verify Data:

  1. Click the File tab at the top menu bar.
  2. Hover your cursor to Utilities.
  3. Select Verify Data.

Next, please run the Rebuild Data option through these steps:

  1. Click the File tab at the top menu bar.
  2. Hover your cursor to Utilities.
  3. Select Rebuild Data.

Once done, check if you're able to change the date. Another option you can use is the QuickBooks Tool Hub to fix the issue.

I've also included this article to help you when you pay your future bills: Manage bills in QuickBooks Desktop.

Feel free to comment below if you have further concerns about changing dates in QuickBooks. I'll be happy to help you some more. Take care!
