Sales Orders from Estimates

Thanks in advance. Product is QB Premier Manufacturing and Wholesale Edition 2019. I'm looking to use an estimate to keep track of a large contract that we have. I am looking to make Sales Orders from the estimate to separate out ship dates. I am wondering if there is a way to track what items and quantities on the estimate have already had Sales Orders created and what has not (like it will show you when making invoices from estimates). Any help is appreciated.

Sales Orders from Estimates

You can create a sales order directly from an existing estimate, @NFulton07.

 

All items from the estimate are copied to that sales order.

 

Here's how: 

  1. Open the estimate that you've created. 
  2. Go to the Main tab and click the Create Sales Order button. 
  3. On the Create Sales Orders window that appears, check all the information.
  4. Click on Save & Close once you’re done.

From here, you can now create an invoice out from that sales order, receive the invoice payment and record it as a bank deposit

I am wondering if there is a way to track what items and quantities on the estimate have already had Sales Orders created and what has not (like it will show you when making invoices from estimates).

Thanks for coming back to the thread, @NFulton07.

 

At this time, there's not a way to track the items and quantities when creating a Sales Order, however, we could run a Sales by Item Detail Report to see what type of transactions are associated with the items as well as the quantity sold. I'm going to submit feedback to our Product Development Team about bringing in a feature to allow this to happen within the Sales Order. In the meantime, here's how you can run the report in QuickBooks Desktop:

  1. Go to Reports at the top menu.
  2. Navigate to Sales, then Sales by Item Detail.
  3. You can edit the report by pressing the Customize Report button at the top-left of the report window. Choose what to Display and how to Filter the report, then hit OK to apply the changes.

Sales Orders from Estimates

I am having the same problem. Say we create an estimate for 5 different line items. The customer orders 3 of those 5. I create the sales order from the estimate and have to delete the other two line. Estimates should behave like sales orders do when you "create an invoice" from a sales order. It asks if you want to create from all items or select items. If you check the 3 items purchased to create the invoice when you look back at the sales order it shows that 3 of the 5 were invoiced. Estimates should be the same way. It should give you the option to create a sales order from the entire estimate or a select few. At this time, the open balance under Customer Center /  Transactions / Estimates is useless. It shows the total estimate and not what it left. This makes running estimate reports inaccurate.

This should be an easy fix since this exist for sales orders already.

Same issue here and I don't see why this can't be fixed. When a S.O. is created from an estimate, it should deduct from the open balance of the estimate. And when an invoice is created from a S.O. it should deduct from the open balance of the S.O. 

It would be perfect to control, especially for contractors.

Let me provide some information about sales orders to estimates in Quickbooks, @michelledmarciano.

 

 I can see the relevance of automatically deducting from the open balance of the estimate when a Sales order is created. Currently, this option is currently unavailable. 

 

At times, we roll out enhancements based on our customer's requests. That being said, I suggest sending a recommendation to our product developers. They'll review this idea and might consider updating it in the future.

 

Here's how:

 

  1. Open your QuickBooks Desktop file.
  2. Select the Help menu.
  3. Click Send Feedback Online and choose Product Suggestion.
  4. Enter your recommendation and select Send Feedback.

 

In the meantime, you'll want to follow the suggestion provided by my colleague above.

Why do estimates still remain active after you have changed them to sales Orders?

It will be a very easy fix to change the estimate status from active to converted to sales order, this will help in keeping track of estimates, and we can do the same thing to sales orders once converted to invoices.

In QuickBooks Desktop, estimates remain active even after you have converted them into sales orders for a few reasons:

 

  • Estimates serve as a historical reference for your business. They allow you to track the progression of a transaction from the initial estimate to the final sales order. This can be useful for auditing purposes or for reviewing past transactions.
  • Estimates can be used for future planning and forecasting. By keeping estimates active, you can easily refer back to them when creating new sales orders or invoices. This helps you maintain consistency and accuracy in your sales process.
  • Sometimes, estimates need to be revised or updated before they are converted into sales orders. You can easily change estimates without affecting the sales order by keeping them active. This flexibility allows you to adjust pricing, quantities, or other details as needed.
  • Estimates often serve as a formal proposal or quote that is shared with customers. By keeping estimates active, you can easily refer back to them during customer interactions. This ensures you have all the necessary information readily available when discussing the transaction with your customers.

 

While it is possible to delete or close estimates once they have been converted into sales orders, it is generally recommended to keep them active for the reasons mentioned above. However, if you prefer to remove them from your records, you can do so by manually deleting or closing the estimates in QuickBooks Desktop.

 

Here's how:

 

  1. Go to the Customers menu and choose Customer Center.
  2. Select the customer's name that has open estimates.
  3. From the Transactions list, look for and open the estimate.
  4. Click the Mark as Inactive or Delete button.

Sales Orders from Estimates

Thanks for joining the thread, @LMC14. We'll provide information about the sales order feature inside QuickBooks Online (QBO).

 

We recognize the relevance of having this option available inside QBO. However, please be aware that this feature is only available for the desktop version or QuickBooks Desktop (QBDT). In QBO, you can utilize the Estimate option and convert it to an Invoice after a customer accepts your estimate. Also, both options allow you to enter a customer's phone number and email address. If you wish to learn more about the process, we'll write down the steps to get you going.

 

In case you have existing estimates inside the program, you can follow these steps:

 

  1. Go to Sales then select All sales (Take me there).
  2. Find the estimate you want to convert.
  3. If the status column displays Rejected, you’ll need to update the status before you can convert it. (If the status is not Rejected, skip to step 4.)
  • Select the ▼ dropdown in the Action column, and select Update status.
  • In the Status field, select the ▼ dropdown and select Pending or Accepted.
  • Select OK. Then find the correct estimate on the Estimates list.

       4. In the Action column, select Convert to invoice.

       5. Make any updates to the invoice, if needed.

       6. Then select Save.
