Until this week, I was able to give Inventory Reports access to users. Now, they can only access Inventory Reports if they are a Company Admin or a Standard all access.

I want my employees to be able to view the Inventory Reports, but I don't want them to have access to our business financial reports and everything that comes with a Standard All Access user or Company Admin. Any help?

To further help you, I'd like to know what specific inventory report you want them to access. Also, the kind of permission you give to the user.

Until this week, I was able to give Inventory Reports access to users. Now, they can only access Inventory Reports if they are a Company Admin or a Standard all access.

They are unable to access the Product/Service Quick Report from the Products and Services page, choosing a product and then clicking on "Run Report". I, as an admin, can run that report but they cannot. One had built a custom Report that they had access to until this week and now all of a sudden they do not. I've attached a screenshot of the headers of the custom report they no longer have access to. 

 

As for user roles, I tried every single pre-built user roles as well as custom roles, and the only ones I found that allowed access to the report was Company Admin & Standard All Access.

Thanks for clarifying the specific report you want your user to access, @DEPPEL. Let me share some details about how users can access the Product/Service QuickReport.

 

When adding a user to QuickBooks, you can limit their access to specific jobs. As an admin, you have the option to have them access the Product/Service QuickReport by choosing the right user role. I see that you've tried every pre-built user and custom role, only to find out that the allowed access to that report is the Company Admin & Standard All Access user.

 

As I've tried adding a user here on my end, I was able to set them up to access the QuickReport. You can use the Standard limited vendors-only role, then from the Reports section, click Sales and Customers. From there, you can see that this user can access the Product/Service QuickReport.

 

 

 

The same goes when choosing the Sales manager role, Standard limited customers only role, Standard limited customers and vendors role, etc. You can read this article for more information: User roles and access rights in QuickBooks Online.


 

Moreover, you've mentioned that you've set up a custom report that they had access to but all of a sudden they do not. In this case, their browser might be causing the problem. To rectify this, I recommend advising your user to refresh their QuickBooks account by logging out and logging in. You can also suggest them to log in to their account using a private browser. This is to rule out the possibility of a webpage issue, and private browsing doesn't store local files or cache.

 

If it works in incognito, they'll need to clear the cache of the regular browser. This removes the history or log of sites to start with a clean slate. Otherwise, they can use other supported browsers as alternatives. 

 

In case there's information you want to add that is not available within QuickBooks, you can also export the report to Excel. From there, you can personalize your data further manually and send it to your users so they can see the updated details.

Thank you for your response. However, these suggestions did not solve our problems. As I’d mentioned, when you are in your Products and Services page to view all of your inventory/products, and under the “Action” column, you choose “run report” in the drop-down menu, it will not allow you to view the transactions that have occurred with that particular item. Standard users get a “Something went wrong. We’re working on it” error message. When I am logged in as an admin, I have no problem viewing the report that way.

 

Changing browsers did nothing to fix them not being able to access the custom report they use every day. I had not changed their permissions, so there is no reason that they should now be unable to access their report. Any other suggestions?

As I've tried your scenario on my end, I was able to access Product/Service QuickReport from the Product and Services page without any errors received. I've added a screenshot for reference.

In addition to that, you may consider exporting this report as a workaround and share this with your users, so they can access report data and updated item details.

Thank you for your response, I have now spoke with 2 representatives on the phone and did a screen share with one of them as well. We have determined that after the recent update, the user no longer has access to the reports needed unless they are made a Company admin or Standard All Access user. That being said, it seems as though there is no solution to our problem without a developer change. Our work around is that I will email the report to the user daily for them to carry on with their business - inconvenient, but at least it is an option.
