We have 2 bank accounts., but QBO is not combining the 2 bank accounts information for reports. Can the information from both bank accounts be picked up for reports?

We opened another bank account for PPP and switched back to the main account after we had spent all of the PPP money for payroll. In addition to inaccurate reports, I am wondering if the w-2's will be accurate.

Having two bank accounts won't affect the W-2. As long as the payroll transactions are there and correct, your W-2's will be accurate. The same goes for the reports.

Since I don’t see a full year’s payroll posted in reports & I should, I must have set the bank accounts up incorrectly. Can you tell me what setting would keep the 2 accounts from reporting jointly?

So since I should see all the months of payroll from both bank accounts show up in reports and am not, there must be a setting that is not allowing both bank accounts to combine. Can you tell me what setting would keep the 2 accounts from combining for reports & possibly w-2’s?

I can share some information about how reports work in QuickBooks.

 

Most reports in QuickBooks Online will combine the data in the data from your bank accounts, especially if they contain the same type of transactions. You can try filtering them by distribution account to individually view their associated transactions. However, please take note that this option only available on selected reports. Here's how to do it:

 

  1. Select Reports from the sidebar menu.
  2. Open the desired report.
  3. Click the Customize button.
  4. Set the appropriate reporting date, then go to the Filter section.
  5. From the Distribution Account drop-down menu, select the appropriate bank account.
  6. Click Run report.

Unfortunately, we're unable to keep the two bank accounts from being jointly reported in Form W-2. Moreover, having multiple bank accounts won't affect the accuracy of the reports and tax forms. As long as you've assigned the payroll transactions to the appropriate bank account, they'll all reflect in your reports and tax forms.

 

It's possible that some of the transactions weren't properly allocated that's why they're not showing on your reports. To isolate the issue, you can open all your transactions and make sure that they're assigned to the correct bank account.

 

If they're still unable to view your payrolls for the whole year after reviewing all the transactions, you can perform some basic troubleshooting steps to fix this issue. At times, the stored cache in your browser becomes corrupted causing unusual behaviors in the program. You may start by accessing your QuickBooks account in a private/incognito browser. Feel free to use these shortcut keys:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox and Microsoft Edge: Ctrl + Shift + P
  • Safari 11 or newer: ⌘ + Shift + N

Once you're in, please run your reports again. If they're now accurate, you'll have to go back to your regular browser and clear the cache to get rid of the accumulated junk files. You can also use other supported browsers as an alternative.
