Sending company file to offsite user for data entry. How do I limit access?

I need help! I need to send my company file to an offsite person so they can enter a bunch of bills and invoices for me. I am worried about giving them my full company file. Can I restrict what areas of the file they have access to?

Welcome to the Community, @Ndkblondie1. I'm here to lend a hand.

In QuickBooks Desktop, you can set a user on what specific access you want them to have. You can customize their access for you to restrict certain areas of QuickBooks.

To do this, here's how:

  1. Go to the Company menu at the top.
  2. Select Users and Passwords
  3. Click the plus sign (+), then enter a username and password.
  4. Choose the Custom user permissions.
  5. Set on what area the user can see and do.
  6. When finished, close the Preferences window.

For more details about this process, see this article: User and password preferences in QuickBooks Desktop for Mac.

Leave your comments below if you have other questions about customizing the user access level in QuickBooks. I'm always here to help. Have a great day.

@Ndkblondie1

Imho, when you sent your company file out to someone, you couldn't control it any longer. They will be able to duplicate the file and purchase a 3rd party password removal service. I would recommend to deploy a private cloud at your premise and let someone access it by internet connection.
