When I run sales reports each month filtered by sales rep, my total sales $ does not match the total sales $ on my dash board for the month. Any suggestions as to why?

When I run sales reports each month filtered by sales rep, my total sales $ does not match the total sales $ on my dash board for the month. Any suggestions as to why?

Hi there, @lisaw66.

 

The figures showing in the Sales section in the dashboard covers the last month while the Sales report depends on the Report period and Accounting method you've set when you run it. 

 

To correct this, make sure that both dates in the Dashboard and Sales report are the same. 

 

Here's how:

 

  1. Go to the Reports tab, then select the Sales report. 
  2. Under the Report Period, select Last month
  3. In the Accounting method, select Accrual or Cash
  4. Hit Run Report.

I have both set to the same reporting period.  I have 3 sales reps, when I run the sales reports by sales rep and add all their totals together, it does not equal the total for the reporting period on the dashboard. I don't understand why.

The information displayed in your dashboard depends on the accounting method set in your account’s preferences. Let’s first review your account’s accounting method.

Once completed, let’s view and compare the Sales by Customer Detail report with the data in your dashboard. You can customize this report to display your sales transaction grouped per Sales Rep. 

 

Here’s how:

  1. Go to the Reports menu.
  2. Scroll down to the Sales and Customers section.
  3. Select the Sales by Customer Detail report.
  4. Filter the Date Range and Account Method
  5. Click the Run Report button.  2.GIF

Lastly, make sure all your sales transactions are assigned to a specific Sales Rep. Transactions that were not assigned to a Sales Rep will be listed under the Not Specified section. For more insights, you can read through this article: Filter, search, and sort with custom fields.

I've checked all my settings and everything is set up the same.  This has been driving me crazy for over a year.  I have checked and double checked everything I can think of.  Still getting different totals.

Let me chime in about why your dashboard is showing different amounts from the reports in sales. The amount of your sales graph on the dashboard is based on the sales transactions in your account for the period specified. It only displays the posting transactions, not estimates. 

 

A noticeable discrepancy between the profit and loss and sales reports may be due to one of more issues, including, but not limited to the following:

 

  • The date ranges of the reports do not match.
  • The accounting bases of the reports do not match.
  • Sales items point to incorrect sales accounts.
  • The P&L report includes transactions that do not use items.

 

The following steps should help correct discrepancy between Profit and Loss and Sales report:

 

  1. Confirm that the reports have the same date range and basis.
  2. Make sure the items point to the correct accounts.
  3. Check for transactions without items
  4. Compare the detail reports line by line to find differences.
