Bounced Check button greyed out

I'm trying to use the bounced check function but it is greyed out. I have checked that the customer payment method is set to check. The payment has been deposited to the bank account and payment screen shows "cleared". I've looked at every check for the past few months and every one has the bounced check icon greyed out. Any ideas as to how to turn this functionality on? Thank you.

Let's work together to figure this out so you can record a bounce check for your customer. To begin, make sure your QuickBooks Desktop (QBDT) for Mac is up to date with the most recent release. This way, we can ensure the software is running with the newest features and updates.

 

If the issue persists, I recommend that you run the Verify & Rebuild utility tool. This scans your company file for potential errors and promptly corrects them. . I'll show you how.

 

To Verify:

 

  1. Go to the File menu and select Utilities.
  2. Select Verify Data, then select OK to close all windows. 
  3. Once you’ve verified your data, you can rebuild your company file to fix any errors or data damage that's found.

 

To Rebuild:

 

  1. Go back to the File menu and select Utilities.
  2. Select Rebuild Data, then select OK to close all windows.

Thank you for your reply. I have the latest release v20.0.8 R9 and I have verified and repaired the company file but the problem persists. On all my Customer Payments that have "Check" as the Pmt. Method, the program will not allow me to click on the bounced check icon in the toolbar. I tried changing payment types, save, and then change it back to check but still not allowed to use the bounced check function.

 

Any other ideas would be appreciated.

The Bounced Check grayed out button is a behavior often caused by damaged data. Since you have done the verifying and rebuilding steps on your QuickBooks Desktop for Mac, we can proceed to the next troubleshooting which is to repair your company file. To do this, let's use QuickBooks File Doctor.

 

The first step is to close and then reopen QuickBooks. Download the most recent version (1.5.0.0) of the QuickBooks Tool Hub. Save the file somewhere you can easily find it (like your Downloads folder or your Windows desktop).

 

Once done, follow the steps below:

 

  1. Open the file you downloaded (QuickBooksToolHub.exe).
  2. Follow the on-screen steps to install and agree to the terms and conditions.
  3. When the install finishes, double-click the icon on your Windows desktop to open the tool hub.
  4. From the tool hub, select Company File Issues.
  5. Select Quick Fix my File. Select OK when it completes and launch your QuickBooks.
  6. From the tool hub, select Company File Issues.
  7. Select Run QuickBooks File Doctor. It can take up to one minute for the file doctor to open. Note: If the QuickBooks File Doctor doesn't open, search for QuickBooks Desktop File Doc and open it manually.
  8. In QuickBooks File Doctor, select your company file from the drop-down menu. If you don’t see your file, select Browse and search to find your file.
  9. Select Check your file (middle option only) and then Continue.
  10. Enter your QuickBooks admin password and then select Next.

If you see an issue, please proceed to Step 4 of this article: Fix company file and network issues with QuickBooks File Doctor.

As this is Quickbooks Desktop Mac 2021, is there an apple OSX version of the tool you are asking to download and run?

I have already tried the chat and all they wanted to do was sell me a subscription and then e-mailed me a link to a video that showed me what happens when the bounced check icon works, but nothing about what to do when it doesn't. I was hoping this would be a better source for the answer to the issue I was having. I don't think it is out of the question after spending hundreds of dollars on software to get some help to get a documented function to work as advertised. If you can't help me and chat won't help me, where do I go from here?

Well, same thing here. The "Record Bounced Check" button is grayed out. I have followed the recommended "Verify Data File", then "Rebuild Data File" (no errors were found).  What is the solution?

Hello, @pynchonpress. I'm grateful that you followed the advice provided by my colleagues above. Please allow me to help and share extra ways to fix the greyed-out bounced check button.

 

Since the troubleshooting steps shared above don't work, please note that you can only use the Bounced Check feature if the customer payment is a check you already entered in QuickBooks, and isn’t deposited to the Undeposited Funds account.

 

  1. Go to the Customers menu, then select Receive Payment.
  2. Find and open the check, then select Bounced Check.
  3. Complete the info needed. Take note that for bank fees, QuickBooks creates a bank service charge expense account if you don’t have one.
  4. Select Next. You’ll see a brief explanation of what happens with the invoice, check, and bank fees.
  5. Select Record. The invoice is now unpaid and outstanding. It also includes a Bounced Check Charge for your customer. If you don’t have one, QuickBooks creates a Returned Check Charges income account for the charge.

 

Then, QuickBooks also creates a journal entry to reverse the payment. To see its details, double-click on the journal entry. For more details, open this article: Handle Non-Sufficient Funds (NSF) or bounced checks from customers.

Bounced Check button greyed out

I tried to figure this out for an hour. I finally brought up the payment in the customer section. I clicked on the check box and resaved the payment. The check box is right between the cash and visa boxes on my version of Quickbooks.I then went in to the payment and the bounced check button was no longer greyed out. I clicked on the bounced check button and followed the steps and recorded the bounced check.
