cant change the undeposit fund

We have a third party software that tell QB when someone pays and it goes into the undeposit funds category.  When my bank downloads that transaction it is not catorgized.  I am trying to go change the accout to sales income but it will not let me.  When I go inot the bank account and click edit on that transaction, it brings up a list of invoices and that customer is checked and the ammounts are corrrect, but nowhere does it let me chose the sales income account.  This has been going on for a while because I have over 12000 transactions in undeposited funds.  Thanks for the help.

Thank you for posting in the Community and providing additional details, @five0clcok. I can share some insights about clearing the Undeposited Funds account in QuickBooks Online (QBO).

 

Undeposited funds act as a holding area for payments received from your customer's invoice. This allows you to gather all your sales income in one account.

To view your Undeposited Payments, follow these steps:

 

  1. Click +New.
  2. Go to Bank deposit.
  3. From the Account dropdown, select the account you want to transfer the money to.
  4. Choose the checkbox for each transaction you want to combine.
  5. Make sure the total of the selected transactions matches your deposit slip. Use your deposit slip as a reference.
  6. Choose Save and close or Save and new.

I make it to step 4 but the deposit I am looking for is not in the list however there are 5609 other transactions in the list.  When I back to the back register I see the transaction and it says it is in the undeposit funds account?

Thanks for dropping your additional concern, @five0clcok. I'll help you further with the deposit that is not visible in the undeposited funds in your QuickBooks Online (QBO).

 

Usually, the invoice payments are held in your Undeposited Funds or Payments to deposit to combine them into a single deposit. Any payments you receive are credited automatically to the Undeposited Funds account. When you go to deposit these funds, you will see them in the Bank Deposit window. If you cannot locate a payment when making a deposit, it may have already been deposited. However, you can still see the undeposited funds under the payment deposit which will indicate where the deposit came from.

 

However, if you are checking the bank register for the undeposited funds and it is not showing the deposit transaction, I advise performing some basic browser troubleshooting. Browsers accumulate temporary internet files that can affect your browsing experience. Too many internet files can sometimes change how your QBO company behaves, resulting in errors when performing tasks.

 

See the following keyboard shortcuts for suitable browsers to open a private window:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P
