Connecting online bank account to existing account within QB.

I've been manually adding transaction via downloaded .QBO files.

Is there a way to connect my existing accounts to an online connection?

Every time I try to connect an account via online - it always creates a new account.

I'm delighted to see you here, @ez0es.

I'm here to help you link your account by heading to the Chart of Accounts in QuickBooks Online.

The chart of accounts in QuickBooks is a list of all of your accounts. When you establish your company file, QuickBooks customizes your chart of accounts based on your business entity. When it comes time to file your taxes, keeping your chart of accounts organized is beneficial.

  1. From the Accounting tab menu, select Chart of Accounts.
  2. Locate the account to which you want to connect or select New in the upper right corner.
  3. Select View register from the Action column dropdown. Then select the Connect bank option.
  4. To connect your bank to QuickBooks, follow the onscreen instructions (these steps are the same as listed above, starting with step 5).

QuickBooks downloads transactions for you, so you don't have to manually enter them. To get your most recent transactions, refresh the bank feed.

  1. Select Banking, then Banking tab.
  2. Choose Update.

When QuickBooks tries to connect to your bank or credit card's website, it can't discover the account you created. These could be due to:

  • The account was changed or relocated to a new server by your bank or credit card company.
  • On the website of your bank or credit card business, you altered the account name or other information.
  • A new account or credit card was issued by your bank or credit card firm.
  • Your bank or credit card account was closed.

Once everything looks good, check out this article about categorizing transactions in QuickBooks Online.

Connecting online bank account to existing account within QB.

We have a staffer who needs to access the QB database while at a remote location. QB says that the QB database can not be accessed over a VPN connection. So for the moment we're setting up this person to Remote Desktop to the office, but this is having challenges.

Thank you for getting back to us, @ez0es.

I appreciate you following the steps provided by my colleague above. Since you are not able to see the Connect button, I'm here to show you where is it located.

  1. From the Chart of Accounts page, click the dropdown arrow beside the View Register.
  2. Select Connect bank.
  3. Enter the name of your bank in the search box.
  4. Proceed with the on-screen instructions.

Once your transactions are downloaded, you can proceed to categorize your transactions.

I appreciate the steps you've performed to see the Connect bank in the Chart of Accounts, @ez0es.

I've replicated the steps shared by my colleagues, and I'm able to see the Connect button in the View register dropdown. To sort this out, you can add a new bank account, so you'll be able to see the connect button.

Here's how:

  1. Open your QuickBooks Online account, then go to the Accounting tab at the left pane.
  2. Select Chart of Accounts, and click on the New button.
  3. Choose Bank as an Account Type and fill in the account's information.
  4. Hit Save and Close.

Once done, click the drop down arrow beside the View register of newly created account, and you'll see the Connect button. You can also use this article for an additional guide about organizing your accounts and transactions: Understand the chart of accounts in QuickBooks.

If the issue persist, let's perform some browser troubleshooting steps to isolate the issue. There are times when your browser's cache and cookies may be corrupted, leading to navigation issues with QuickBooks. To get started, open your QBO account in a private mode to have a clean slate. The following are the shortcut keys you can use:

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox and Microsoft Edge: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

Once signed in, go to the Chart of Accounts again and check if you can see the connect button. If this works, clear the cache of your regular browser. This is to remove the damaged and corrupted files. If the same thing happens you can also use other supported browsers.

By the time you reconcile your account to match the transactions entered into QuickBooks Online against your bank or credit card statements, you can refer to these articles:

Tried connecting a new account and it worked, but here's the thing.

I've put in work in organizing my existing account where I was downloading the transaction manually before.

Could there be a reason the way I created my (checking) account disabled the ability to link it to my bank?

Do I really need to start over if I want to switch from manually uploading the info to having it automatically downloaded?

Great to hear you're able to connect your bank account, @ez0es.

I'll share some insight on why you'll have to create a new account for your checking account. That is just a workaround or another way to connect to online banking since you don't have the option to link it.

As with switching to online banking, you'll have the option to bring all your past transactions when you connect your account. This way, your checking account is up to date.

Going forward, your bank transactions will automatically sync with QuickBooks. Learn more about this feature in the articles below:

You can also make use of our added feature which is the bank rules. Banking rules helps you save time by setting up automatic categorization of the regular recurring transactions. This will prefill some information when transactions are downloaded from the bank. Check out this video for more information: How to use bank rules in QuickBooks Online.
