How can I make products inactive on a downloaded excel spreadsheet?

I have many discontinued products that need to be deleted or inactivated. I know how to do one product at a time but I want to inactivate them in bulk.

How can I make products inactive on a downloaded excel spreadsheet?

Hi there, mel46.

I'm here to share information about making products inactive in QuickBooks Online (QBO).

You're already on the right track! If you're referring to your products and services or items in QBO, here's how to make them inactive in bulk:

  1. In QBO, go to the Invoicing or Sales menu on the left pane.
  2. Proceed to the Product and Services tab.
  3. Place a checkmark on the boxes beside the products and services or items' names that you want to make inactive.
  4. Click the Batch actions drop-down arrow at the upper right and select Make inactive.

To learn more about managing products and services or items in QBO, consider checking out these articles:

For more tips and other resources you can use in the future, I recommend visiting our website. Here's the link: Self-help articles.

Please let me know if you're referring to something else or if you have additional questions. I'll be more than happy to answer them. Stay safe.

Thank you very much. Answered my question. Further, can I download an Excel spreadsheet with a column for deactivating products?

I really appreciate your help.

Thanks for sharing an update, mel46. We're happy that we're able to help you with inactivating products. So for your further concern, I'm here to give you an answer.

The option to download an excel file with a column for deactivated products is currently unavailable.

There are formatting that needs to follow when importing your products and services. Otherwise, you'll stuck in the mapping section and unable to get through with importing your data to QuickBooks Online (QBO).

You can refer to this article for more details, especially with the formatting when importing products and services in QBO using an excel file: Import products and services into QuickBooks Online.

If you want this feature to be added in the future updates, you may send feedback to our product developer to help improve your experience. Your opinions and feedback with us will be highly appreciated. I'll show you how:

  1. Go to the Gear icon.
  2. Choose Feedback.
  3. Type in your product suggestions, then click Next to submit feedback.

You can visit our QuickBooks Online Feature Requests website to track the status of your submitted feedback.

I've added this article for your future reference: Group your products and services into different categories.

Moreover, if you want to export data from QBO in the future, you can check out this article: Export reports, lists, and other data from QuickBooks Online.

Please feel free to post a response if you need further help with managing your products and services. I'll be around. Take care!
