Hello there, Zisa! It's great to see you make your first post here in the Community! Maintaining the accuracy of your financial data is essential to effectively monitor your revenue and business growth. I’m here to help you resolve the discrepancy between your bank numbers and QuickBooks, ensuring you feel confident your transactions are accurately tracked.

In QuickBooks Online (QBO), the Bank Balance shows the actual amount in your account from the latest bank feed update, while the QuickBooks Balance is the total of all transactions you've added or matched. There are a few key factors that can cause their difference:

  • Outstanding transactions
  • Edited or deleted entries
  • Duplicates
  • New transactions for a connected account

You don't need to redo your bank connection. You just have to categorize and match your transactions in order to proceed with reconciliation. To do this, follow these steps:

  1. From the Transactions menu, hit Bank transactions.
  2. Choose the account you want to review.
  3. Go to the For review tab to evaluate each of them.
  4. If the transaction says Add, select Add if the suggested category is correct and change if necessary.
  5. If it says Review, click Review, then pick a category, then Confirm.
  6. If the item already exists in QuickBooks, you'll have the option to match or view multiple matches82.png

For a comprehensive guide on the task above, please see this article: Categorize online bank transactions in QuickBooks Online.

Once you have everything in place, go ahead and reconcile your account.

Additionally, QuickBooks automatically creates a reconciliation report every time you complete reconciling. If you're interested in learning more about this, feel free to check out this helpful reference: How do I view, print, or export a reconciliation report?

With this information, I’m confident you're now able to balance your QuickBooks and bank account numbers. If you have any additional questions or further clarification about the process, please don’t hesitate to click the Reply button. I’m always here to assist! Wishing you a fantastic day, Zisa!
