I can shed a light on that, gstuart.

 

It could be that the donation wasn't included in the filtered transaction that's why you're unable to see it. To isolate the issue, please make sure the filters are set All. Here's how:

  1. Go to Sales menu, and then select Donors tab or Customers tab.
  2. Open the Customer profile, and then go to the Transaction list tab.
  3. Select the Filter drop-down menu and set to all option. 

Alternatively, you can open the donation in your account register and make sure that it was posted to the correct donor.

  1. Go to Accounting menu, then select Chart of accounts.
  2. Open the account register holding the transaction.
  3. Click the View register link from the Action column.
  4. Find and select the donation to expand the view.
  5. Verify the donor of the transaction.

Thanks for the suggestions, but that's exactly what I did to discover the problem.  So it's not yet resolved.

 

If I can select the Donor from the drop-down in the Register view for the bank account then obviously that transaction should appear in the Transaction Log for that donor.  But it's blank, so there's an issue.

Thanks for reaching back out to the Community. Allow me to provide you with some information about this subject. 

 

Performing some troubleshooting should do the trick. Using a private browser or incognito window can help eliminate any glitches that are occurring in the system. Here's how depending on the browser session: 

 

  • Google Chrome: Ctrl Shift 
  • Internet Explorer/Firefox: Ctrl Shift 
  • Safari: Command Shift 

 

If this works, go back to your regular session and clear your browser's history. This will allow QuickBooks to load as a fresh new page. If not, then I recommend contacting our Customer Support Team for further investigation. They'll be able to use other tools to locate the issue and help you fix it.

I am having the same issue. I followed the exact steps as you said to do above and it did not fix the issue. I also spoke to a customer service person for almost an hour today. They kept sending me articles regarding logging a charitable donation as if I was MAKING the donation not RECEIVING it. That not helpful. Is there a second level of support that understands non-profits specifically?

I have this issue. None of the solutions above work at all. You suggest contacting customer support, which I did. It took more than an hour showing them the problem on screen sharing multiple times before they even understood what the problem was. NO SOLUTION. NO OTHER TOOLS to locate the issue. NO WILLINGNESS to even communicate the problem upstream for a solution. NO UNDERSTANDING of what a BASIC accounting function this is, especially for non-profits. The software simply doesn't do what it NEEDS to do, and claims it WILL do. If we can't reliably produce a full Donor Transaction report, then it is simply NOT SUITABLE for any non-profit organization.

I'd be happy to help you resolve your concern, but before we proceed, may I ask how you recorded this donation in your QuickBooks Online (QBO) account? Any additional information or screenshot would greatly help me provide a suitable solution to your concern.

 

Additionally, I'll be sharing one possible reason why the donation you entered didn't appear in your donor's profile. If you entered the donation by check or deposit, it'll not appear on your donor's profile. However, you can run a Transaction List by Donor or go to the register to see the donation made by your donor.

 

If you've entered it by receiving payment, invoice, or other sales form, you'll be able to view the donation by going to the Sales tab and clicking on the donor's profile.

It was running a Transaction List by Donor that lead me to discover this problem, because that report leaves out any donation that was not the only line in its deposit record. I already read the article you linked. It claims what you claim above, more or less. But that claim is just not true. 

We enter donations by creating a deposit. It turns out that if you put more than one donor in a deposit, Transaction List by Donor can't find them.  WHAT??!!  We tested this by carefully creating whole new deposits with new donations under the supervision of a screen sharing QuickBooks rep. He was stumped and basically gave up. It feels like no one who works at QuickBooks appreciates how essential this is in the non-profit world.

You are correct, but this is really dumb software design!!  Why on earth would it matter how you enter the donation? This is like an admission that QuickBooks is not a good solution for non-profits. This is dumb, but it would be acceptable if Transaction List by Donor worked like it should--like you say it does, but it doesn't.  

 

It would be better if people who worked for QuickBooks were not so quick to assume that their customers are stupid. Maybe the problem is with the software, and someone should look into fixing it.

While not a report in QuickBooks, you can use our BRC Donor Statements - QB Online  tool to create donor statements, including when recording those donations as deposits. If that is one of your end goals, the tool will help with it.

Has this issue been worked on by Quickbooks yet? Because I am facing the same issue. It shows no donors having donated at all, though I have categorized and reconciled with all donor information correctly input. It appears that this has not been resolved. For reference my Paypal account was linked and the donations came in through there.

I'll make sure that you can view the categorized entries from your PayPal account, jamesmightchooseAplos.

 

By default, all the transactions associated with the donor will be displayed in their profile. Since you've already confirmed the details were entered correctly, let's perform some basic troubleshooting procedures to narrow down the reason for this unusual behavior.

 

QuickBooks Online uses browser cache and cookies to load pages faster on your next visit. At times, these files accumulate too much causing viewing/sync issues. To get started, open the Transaction List tab from the Donor page through a private or incognito window using these shortcut keys:

 

  • Mozilla Firefox: Ctrl + Shift + P
  • Google Chrome and Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Option + P

 

If the donations are now showing, go back to your main browser and clear the accumulated junk files. Alternatively, we can switch to other supported browsers to further isolate the problem.

I tried this.  I'm with everyone else.  Quickbooks online does NOT do what it should.  This should be an easy fix for QB to take care of.  There is NO reason when a deposit is made and multiple donors are listed correctly on the deposit that those amounts should not be showing up in the donor transaction list.

 

IS ANYONE AT QUICKBOOKS listening????

I FINALLY FOUND SOMETHING THAT WORKS.  QB should still fix this glitch, BUT, try this:

 

Here's how to show all deposits made from a donor's transaction list:

  1. Go to the Sales menu and then select the Customers/Donors tab.
  2. Click the donor's name.
  3. From the Transactions List, select Filter.
  4. Choose All plus deposits and then modify the date.
  5. Click Apply.

I FINALLY FOUND something that works.  Go to this Q&A link.  QB still needs to fix this, but at least this SEEMS to show me all the donations from a particular donor.

Well, after finding a fix for this, now I can't get to the 'filter' tab under 'Transactions'.  There is a big 'advertisement' to "Create and send invoices - then get paid"

 

How can I get rid of this banner and see the 'batch' and 'filter' tab for a particular donor?  Once I get there I can filter to include deposits...

I can assist you in removing the pop-ups on your screen, @CcloudWe understand that pop-ups can be uncontrollable, I'm here to help you 

dismissing them. 

 

We can either click the X button or select the Not Now option to eliminate advertisement pop-ups. Nonetheless, if these options are unavailable, we can refresh the page by clicking the Refresher button. It will help remove the ads from your QBO page.

 

Additionally, if nothing happens with all the solutions above, possibly the pop-up window is blocked. You can follow the steps in this article to troubleshoot the issue: Why doesn't anything happen when I select a button or link?

 

Furthermore, the option to remove pop-ups isn't available in QBO. I will take note of it so that our developers are aware and can consider removing them in future updates. Our team is continuously working to improve the product and provide the best possible experience for all QuickBooks users.
