Bank Feeds

For some reason, it appears that only when logged in as 'admin', can someone then access bank feeds.

Doesn't seem to matter their permissions or roles...

Hey there, @FJH

It's great to see you back in the Community! Let me share some details about accessing your bank feeds in QuickBooks Desktop.

Yes, you're correct. In order to access the bank feeds in your account, the user will need to be signed in as the "admin."

I can see how beneficial this could be for your business if other users would be able to gain access to this feature. With that being said, I'll submit your feedback to our Product Developers so they can consider improving user permissions and more.

As future reference, here's some guides that could help you out with bank feeds:

Tried Admin.  Interesting thing happened.  It worked for ONE of our Amex accounts but not for the other.

That is odd.

All I know is that we have been only using 'admin' login to access bank feeds to connect to AMEX and download credit card transactions without any problems.

As the 'admin', just means one extra task weekly as part of regular duty handing account sync between our PSA and QB and ConnectBooster daily.

Tried disconnecting/reconnecting AGAIN.  Nearly 1,500 transactions just downloaded AGAIN.  I did this under my QB User Name - not Admin.  Perhaps tomorrow, I'll try under Admin User.  This is so frustrating!

The other odd thing:  The bank feeds screen Amex balance agrees to the Amex website!  But nothing is there..

Are there different versions of bank feeds in QuickBooks desktop? I just set up a new client in bank feeds and the screen looks different, better with more options? I have a few other clients who have been on bank feeds for a few years and the screen looks different and with less options? I will attach images. Thanks!Screenshot (90).pngScreenshot (89).png

I've got your back, @mbesso. I'm here to share additional insights about different banking modes in QuickBooks Desktop (QBDT).

In QBDT, you have three Bank Feed modes available. Each mode displays and handles transactions in your Bank Feeds differently. Let me provide the steps so you can change between modes as often as you need.

Here's how:

  1. Go to Edit, and then select Preferences.
  2. Choose the Checking section, then go to the Company Preferences.
  3. In the Bank Feeds section, select either:
    • Advanced Mode: This uses the Transactions List window to add or match transactions. You can quickly update transactions for future matches or create rules automatically to recognize and match transactions to your books.
    • Express Mode: This uses the Transactions List window to add or match transactions. Renaming rules are created automatically.
    • Classic Mode: This uses the account register to add or match transactions. Aliases match names exactly; you control when you want to create aliases.
  4. Tap OK to save your preference.

Furthermore, see these screenshots for the layout differences between banking modes in QBDT:

Once everything's good, you can categorize your downloaded bank transactions to keep your financial data accurate and updated. Refer to this article for detailed steps: Add and match Bank Feed transactions in QuickBooks Desktop.

I'm just one click away if you have other concerns about the system's features or managing bank transactions in QBDT. Take care, and have a great day!

It would seem that the difference is not the Quickbooks user, but the INTUIT user that makes the difference.  I log in with my INTUIT user account on both the "Admin" and "MyUser" in quickbooks.

The Intuit user is your email address used in teh upper right corner next to the discovery hub.

Has there been any resolution on this? Or am I misunderstanding? I simply can't believe that a company who wants to market their software to companies of all size, has such a basic entry-level function such as downloading daily bank feeds limited to a SINGLE person in the entire organization? Only the Intuit account Primary Admin can download bank feeds?

That's barely even function for a tiny company because who handles that process when the one person with access is unavailable.

Essentially Intuit is telling us to continually upgrade products to enhance security yet turns right around and requires companies to share a single credential across multiple people in order complete a basic, routine function.

Thanks for joining us here in the thread, @DeepGrok.

I understand that having this feature is crucial to your business. However, the ability to download bank feeds even if they have full access and are in single-user mode is unavailable.

With this, I encourage you to send product feedback directly to our Product Developers. They're genuinely interested in hearing your input and highly encourage you to send your suggestions.

Here's how:

  1. In the upper right corner, look for the Gear icon.
  2. Select Feedback.
  3. Enter your comments or product suggestions. Then, click Next to submit your feedback.

Furthermore, I'm adding these helpful resources for you to be able to know how to troubleshoot QuickBooks Desktop Pro and Premier user login and restrictions.

If there's anything else you need further assistance with when managing your account, keep your posts coming in this thread. I'll make sure to assist so you can keep your business going. Stay safe, and have a great day ahead!

So this answer is bunk. I have a client with 4 companies. In three of the companies I can log in as the accountant with External Accountant privileges and work the bank feeds. Only the company that has credit card processing do I have to log in as the admin.

I think this is a Intuit error and they need to get this fixed.

QuickBooks Enterprise 24.0. Bank feeds were accessible from the External Accountant permission log on until we updated to 24.0

Appreciate you for chiming on this thread, Kevin. I'm here to share information with company file log ins and access in QuickBooks Desktop (QBDT).

There are numerous factors that can prevent access to bank feeds within a company's file. Understanding these issues and taking measures can significantly streamline the process and reduce downtime. Below are some of the most common reasons and steps you can take to resolve them:

  • The account is not yet added to the company file
  • An invitation email was not accepted yet
  • The accountant's login is damaged or corrupted

Furthermore, I recommend on performing a troubleshooting by having your client remove your role as an External Accountant within their system and then re-add it. This approach can often resolve role-based access issues and refresh system permissions. Moreover, ensuring that your QBDT software is up to date facilitates smoother interactions with the software.

Additionally, if your client is sending External Accountant changes you made, then they experienced errors. You can refer to this article on how to fix them: Fix errors when exporting accountant's changes in QuickBooks Desktop.

Let me know if you have more inquiry in with accessing your client's company file, Kevin. I'll be sure to assist you once I get your reply. Keep safe!
