Change a bank deposit to sales

Hi all,

I am definitely new to this, but despite my best efforts and searches I can't seem to find an answer to this.

We currently use a third party vendor (Bluefin) to bill our clients our subscription fee via our electronic health record. This income shows up in quickbooks as a deposit in our bank account. However, when I categorize the deposit as "Sales" it doesn't show up under the "All Sales" tab for transactions. Am I missing something? Is there

Change a bank deposit to sales

You're almost there, and I want to help you fix this right away, @premierweightsolutions.

I'm happy to share with you the screenshots of the whole process so you can categorize the transaction accordingly. This only takes a few clicks, and you'll be a pro in no time!

Since it is downloaded manually, I'd suggest running the quick Sale report on the Chart of Accounts page instead of going to the Sales page.

Proceed as follows:

  1. Go to the Accounting tab and select Chart of Accounts
  2. Locate your sales account and click Run report
  3. Customize the date and hit Run report

For more details about the chart of accounts, click this link: Learn about the chart of accounts in QuickBooks Online.

And here are the screenshots of the entire process to guide you accordingly:

Once everything is in place, don't forget to reconcile your account regularly.

Change a bank deposit to sales

Hi there, @premierweightsolutions.

I'm here to ensure that your records are accurate so you can reconcile them smoothly.

To track and categorize your payments correctly, I recommend reaching out to your third-party provider to verify if there's a way to sync the application's data into QuickBooks Online. This way, transactions will be imported automatically, and you can categorize them easily.

For now, to get your work done, you may manually upload the entries in the system. This way, you'll be able to categorize the entries and match them successfully.

Here's how you can upload them:

  1. Click Banking from the left navigation panel.
  2. Pick File Upload from the Update drop-down menu or Upload transactions manually if there isn’t any bank connected to QBO.
  3. Select Browse and choose the file you downloaded.
  4. Choose an account from the list, then Next.
  5. Follow the on-screen instructions to map the fields.
  6. Choose the transactions to import.
  7. Click Yes.
  8. Tap Let’s go.

To learn more about the process, check out this article:  Manually upload transactions into QuickBooks Online.

Once done, you can start categorizing and matching the transactions. Don't hesitate to comment down below if you need further assistance while working in QBO. I’m always here to help and make sure you’re taken care of. Enjoy the rest of the day.

Change a bank deposit to sales

Thank you for the reply. So, I added the transactions manually and used the "Cash" account. But then when I go to categorize the transactions I still can't get them to show up under sales. Do I need to add the manual transactions under a different account?

Feel free to point me to the appropriate how-to document...I just can't seem to find any other information on this and I feel it is probably an easy process.
