Duplicate transactions from bank feed

I upgraded from QB 2019 to QB 2022 since 2019 wasn't going to be supported past May 2022.  Soon after I did the upgrade I started having problems with company file corruptions (rebuild did no good) that led to a point where as soon as I started QB and logged in, the program immediately terminated.

I was told my company file was corrupted so I sent it to data services for repair.  They returned my "fixed" file but the file was missing quite a bit of data like social security numbers for my employeese and other important fields such as my bank feed information.   I entered all the missing information and reconnected the bank feed to my bank accounts.

Now the problem I'm having is that when I do a bank feed, the transactions downloaded from my bank (as old as two years) duplicate the transactions already in my check register that were downloaded before my company file was fixed.  I suspect there is a hidden field associated with bank feeds or the related QB accounts that keeps track of the last time transactions were downloaded.

Any ideas?

Duplicate transactions from bank feed

Hello there, @johnpeck. I'm here to ensure you'll be able to fix the duplicate transactions in bank feeds in QuickBooks Desktop (QBDT).

I appreciate you providing information about your concern. To start the troubleshooting steps, let me first discuss some details about this.

QuickBooks automatically downloads the maximum number of transactions available from your bank once it is connected to online banking. Also, each bank account is linked differently to the program and sometimes there are cross wires. That said, QBDT might download duplicate transactions occasionally.

To fix this, you can simply remove the duplicates. The process depends on the mode you're using. But before that, ensure that you review and match the transaction in QuickBooks. Then, create a backup copy of your file so we can make sure you have the original file that can be restored in case of accidental data loss or damage.

When ready, follow these steps to delete duplicates:

If you're in the Register mode

  1. In your company file, go to the Banking menu and select Bank Feeds then, click Bank Feeds Center.
  2. Next, locate and select the statement from the Items Received From Financial Institution section and click View.
  3. From there, match the appropriate transactions then, select Done.
  4. Select Yes in the Not Finished Matching screen. You'll return to the Online Banking Center.
  5. Look for the same statement from the Items Received From Financial Institution section and select it. Then, click Delete.

If you're using the Side-by-Side mode

  1. In your company file, navigate to the Banking menu and select Bank Feeds then, click Bank Feeds Center.
  2. Next, in the Items Reviewed section, select the account with the transactions you want to remove.
  3. Click Items to Delete.
  4. From there, select the transactions you want to delete.
  5. Then, select Delete Selected and click Yes to confirm.

For more details, feel free to check this article: Remove duplicate transactions in QuickBooks Desktop.

I'd love to know how the steps go. I'm always around here in the Community if you have follow-up questions about managing your bank feeds. I'd appreciate any updates about this. Please feel free to add a comment below. Have a good one and take care.

Duplicate transactions from bank feed

Divina_N,

Thanks for your suggestions.

I may not have fully underestood your answer but it seems that you addressed how to match transactions that have been downloaded from the bank with transactinos already in my QB accounts.  If so, this isn't what my problem is about.

My problem is that too many transactions are being downloaded from the bank, and as such they duplicate transactions that were downloaded before my company file was repaired by QB Data Services.  When my company file was returned form Data Services, the Bank Feed connection information had been deleted, and when I again connected the Bank Feed to my bank I literally got more than 1,000 duplicate transactions that had been downloaded before my company file was returned.   As a side note, but no longer a problem, all my employees' social security numbers were also deleted so I had to reenter all of them before running a payroll.  I suspect maybe both sets of information were deleted as a security precaution but the side effects of duplicate bank transactions is killing me.

Help!

@johnpeck

You may have 3 options:

1. Contact Data Service again to fix this "new problem"

2. Purchase a 3rd party file repair service and make sure they fix the original file you sent to Data Service without creating a new problem

3. Create a new company file and migrate data if required. Another option purchase a 3rd party service to do so.

Duplicate transactions from bank feed

I'll try to be clear.

Using QBD.

Bank feeds setup and working.

- Chase bank has 2 checking and 2 credit cards

- Capital One has 1 credit card

I normally manually record transactions in all 5 accounts,

The bank feeds downloads and matches to the transactions I have recorded. There may be a few transactions that I have not manually recorded, and I use the bank feeds to Add Details and save.

For the Bank feed transactions that Automatically Match, they are reviewed and approved.

The issue:

Almost immediately after the Automatic Matching and Approving, ALL OF THE MATCHED TRANSACTIONS appear again as unmatched transactions. These must all be marked and batch Ignored/Deleted.

Since there may be an unrecorded transaction in the list, I cannot simple Mark All and Delete.

These are the duplicate transactions. I don't allow the bank feeds to automatically record transactions. Ever. So they don't have to be searched and deleted from the QBD register.

QUESTION:

How can I 'fix' the Bank Feeds so that accepted transactions do not download again as unaccepted transactions?

Duplicate transactions from bank feed

Let's make sure to fix your bank feeds issue, cbcavnar.

QuickBooks provides three Bank Feed modes that you can use. Each display and handles transactions in your Bank Feeds differently. May I know what banking mode are using? You'll want to use Advanced Mode. This uses the Transactions List window to add or match transactions. You can quickly update transactions for future matches or create rules to automatically recognize and match transactions to your books. To switch between modes, you can follow the steps below. But before you do that make sure to update QuickBooks to the latest release and you're in single-user mode. Once done, here's how to switch:

  1. Go to Edit, and then select Preferences.
  2. Select Checking then go to the Company Preferences.
  3. In the Bank Feeds section, select either
    1. Advanced Mode: This uses the Transactions List window to add or match transactions. You can quickly update transactions for future matches or create rules to automatically recognize and match transactions to your books.
    2. Express Mode: This uses the Transactions List window to add or match transactions. Renaming rules are created automatically.
    3. Classic Mode: This uses the account register to add or match transactions. Aliases match names exactly and you control when you want to create aliases.
  4. Select OK.

However, if you're still experiencing the same issue, you can perform the Verify Rebuild Data tool in QuickBooks. This identifies the most commonly known data issues and resolves them. I've added this article for your guide: Verify and Rebuild Data In QuickBooks Desktop.

Additionally, once all your bank transactions are already properly put in the right place and already working fine, you can proceed to match your real-life bank and credit card statement. Learn from this article on how to reconcile your bank accounts: Reconcile An Account In QuickBooks Desktop.

Duplicate transactions from bank feed

I have the same exact problem.  Duplicate transaction appear, just moments after they were already reconciled.  And I also bank with chase.

Was your issue resolved?

Recently Chase rolled out a new connection platform for online banking.  I received an email requiring me to adopt this new system interface, which forced me to start using the Advanced Bank Feeds option, verses the Classic Mode I used prior.  Never had this issue before I updated to their new platform.

This problem adds a LOT of wasted time to reconciling my accounts, as it takes twice as long to go through each transaction to weed out the duplicates.  Need a solution.

Thanks, but...

We are still using QBD 2020. Will upgrade to 2022 or 2023 in the next month or 2.

There doesn't appear to be an "Advanced" mode in 2020. Only Classic and Express. I have been using Express.

So this is going to be a problem until we upgrade? And then you GUARANTEE that it will be solved with the Advanced mode?

Or is this just another standard copy and paste answer that does not fix anything?

Duplicate transactions from bank feed

This is not the impression we want you to experience about duplicate transactions in bank feeds in QuickBooks Desktop (QBDT), cbcavnar.

I've checked here on our end and there's no reported case about this one. Duplicate transactions from bank feed

Didn't read my issue, or didn't understand it?

Still not a direct answer to the problem.

I am already doing everything you detailed in the copy and pasted response. Yes, I can, and am deleting all of the duplicate downloaded transactions successfully.

HOW CAN I STOP THE DUPLICATE TRANSACTIONS FROM APPEARING IN THE BANK FEEDS SCREEN IN THE FIRST PLACE?

So it appears that I will have to call in, spend an hour explaining this in detail again, do a screen share to illustrate it, wait on hold while they talk to somebody, and then a "case" will be opened with a tech that I will never speak to or hear from.

Again.

Duplicate transactions from bank feed

I feel your pain.  Since QuickBooks updated the bank feed system a few months ago, my Bank of America and Chase accounts routinely download duplicate transactions. American Express has not been updated, and it works flawlessly.

When Quickbooks updated the bank feeds they removed functionality.  You cannot download all for a bank, which was a nice feature to have when you have multiple accounts at a bank (employee cards).

Bank of America is the worst offender.  Almost every time I start to update I check which residual transactions are there, which are always duplicates, Ignore All, and then download.

This is like when a company says, "To serve you better, we are increasing your fees."  Oh, wait, Quickbooks did that this year. Is it too much to ask that the new system works?

Exact same issue here. Download and match transactions and the same transactions will show up again the next day along with newer ones. It's taking hours of time to filter through and correct. Intuit is gaslighting me when I talk to support and you can see the same thing here from their support team.

Duplicate transactions from bank feed

I think I have the solution.  It has worked for me so far; I hope it works for everyone else.

Let me just say that QBO has provided NO help with this GLITCH and they either don't know they have it or don't want to admit to ONE MORE problem with QBO.

The problem IS NOT in:

Your bank or bank connection

Your computer

Your browser

Your file

Your settings

The problem is a GLITCH with QBO "CATEGORIZED" transactions in your banking section and the duplication is triggered when you start the Matching or Adding process.

After cleaning my register FIVE TIMES, OVER 3500 transactions each time, I finally figured out what the problem/glitch in QBO is and why this is happening over and over.  NOW is up to QBO to fix it so one else must go through this problem again.

Disclaimer: I was able to piece this together because the 5th time I had to clean my bank register I decided to VOID the transactions instead of deleting them (I was seeing a pattern before but I had no way to confirm it because I was deleting transactions) and that allowed me to confirm that the SAME transactions kept duplicating over and over.

Solution:

1. Go to banking menu

2. Select your bank or account that continues to duplicate

3. Go to categorized transactions

4. Compared transactions in the categorized section to the transactions duplicated in your register

In the categorized section select all transactions that are duplicated (select the ones with the C not R, so you don't have to reconcile again).

5. Clickundo at top.  That will put all of those transactions into your For review section.Once you do this, refresh your browser and you should see all the duplicate transactions disappear from your register.

6. Then Click For review, select all the transactions that were undone and put back in here and click exclude to remove them.

I hope this helps everyone, Happy New Year all!

Brenda
