How do I edit a .QBO file to change the Credit Card Account that the transactions get imported to?

We just started using Quickbooks Desktop Premier Contractor Edition 2021 this year and are having issues with our credit card transactions. We have a capital one credit card master account which has about 10 different credit cards associated with it. When we download the transactions as a QBO file, it will only import the transactions into that main capital one card account but has ALL 10 different cards transactions on it. The issue is different people manage different credit cards in this so we can't just use the main account to categorize everything. We have individual credit card accounts for each card but there is no way to download a QBO file on Capital One for individual cards. I've tried downloading as an excel to see if there is a way to import an excel file with all of the transactions for each card but it's far too difficult to go through the .IIF file route.

 

If i could edit the .QBO file to change the Credit Card Account, I'd be able to change it for each card we have, upload them all individually and then just ignore the transactions on each card that do not belong to that card.

 

As of now there is no way Capital One can separate their .QBO transaction download to be based on card so I need to find a way to manually do this to be able to separate each card within quickbooks as that's what the owners want to see. We don't want one master credit card account, we want to be able to go straight to 1 persons card account and see what transactions they have. Any help on this is appreciated.

I appreciate the detailed information, Lithid. It made me understand your concern more. Let's go ahead and import the transactions.

 

Instead of downloading the QBO file of the main account, you'll have to download the file for each credit card account. This way, you can import the file to each individual account.

Thank you for the reply, I wish the solution was that easy but unfortunately since all of our employees cards are under 1 master account, we can't get QBO files for each card. Their website only allows us to download transactions in one way and it doesn't let us select cards so it grabs every transaction from every card and does not separate them by card.

Since we already paid a lot for Quickbooks Desktop we do not want to pay additional costs to get our data put into Quickbooks, thank you for the suggestion though.

I'll get into the details on the ability to edit the .QBO file when downloading your credit card transactions, @tabuccille.

 

As of nowwe haven't received new updates about the availability of this feature. That said, the option to modify the .QBO file to change the account where transactions get imported is currently unavailable in the program. However, you'll want to download the file for each credit card account instead of the main one, as suggested by my colleague above.

 

In the meantime, I'd suggest submitting feedback to our product engineers. This way, they can review your suggestion and consider including it in our future product updates. Here's how:

 

  1. Go to the Help menu and select Send Feedback Online.
  2. Click the Product Suggestion option.
  3. Enter your feature request and select the Send Feedback button.

 

Additionally, it's a good practice to reconcile your accounts monthly to ensure they correspond to your bank statements. Doing so guarantees that they are balanced and accurate.
