How to bookkeep a refund from a vendor for an overpayment?

Hello,

 

I overpaid a vendor for an invoice. I pay invoices by entering them as bills and then making payments against the bills. The vendor wired me a refund for the overpayment. The wire deposit was $10 less than the refund presumably because of a wire fee incurred. These are the steps I have followed so far:

 

1. I fixed the vendor bill to reflect the correct amount.

2. I created a bank deposit for the amount of the refund (less the $10)

3. I marked the invoice as paid selecting my payment method and the bank deposit.

 

I am left with a negative $10 against the vendor. I am not sure how to offset this with the bank fee.

You can create a credit memo to offset the balance with the bank fee, Leslie2557. I can show you the process to ensure the vendor's account is properly credited.

 

Let's start by entering a vendor credit of $10 to hit the expense account you use for this vendor. I'll show you how.

 

  1. Go to the +New button and select Vendor credit under the Vendors column.
  2. Choose your vendor in the Vendor dropdown.
  3. Depending on how you record purchases, enter the Category details or Item details and input $10 in the Amount column.
  4. Tap Save and close.

 

Once done, create an expense transaction for the wire fee incurred and deposit entry. Follow the steps below:

 

  1. Navigate to the +New tab.
  2. Under the Vendors column, choose Expense.
  3. Click Add all on a small window with the deposit and vendor credit shown on the right side of your screen.

Hello,

 

The steps did not work. After I created the Vendor Credit in step 1, the vendor had a -$20 balance against their account. I then created the expense in step 2 and was unable to follow the steps and received the error "You can not add a credit for a vendor without any open bills".

 

I deleted the Vendor Credit from step 1 and am back to having a -$10 balance against the vendor.
