How to transfer a company to a new account

I am looking to take over three companies within our family farm.  I set up my own quickbooks online advanced account.  How to I bring all the data from those 3 companies to my own, new account?  I have the three companies named on my account by there is no data in them.  The companies will then be shut down the old account as that bookeeper is retiring.

I'll guide you about moving your data from the old QuickBooks Online (QBO) company file to your new accounts, kelly.

 

Before we start, please know that we can only manage one QBO company under one subscription. Moreover, we can have multiple companies under the same Intuit account. Having this will allow us to quickly switch between companies to efficiently manage everything.

 

If the old companies that you were referring to are the advanced versions, we can create a copy and use them in your new ones. Please see this article for the complete guidelines and to know what data can't be included during the process: Make a copy of your QuickBooks Online Advanced company.

 

On the other hand, if these are from QuickBooks Simple Start, Essentials, or Plus, we can export the data to extract them from your old file to the new company. Here's how:

 

  1. Go to the Gear icon and select Export Data.
  2. Select the date range in the Reports tab and toggle on the options or data you want to export.
  3. Select Export to Excel.

Why don't you ask the bookkeeper to transfer the Primary Admin access of each QBO account to you? You don't have to migrate any data.

Once I have the copy of the backed up company from my mother in law's account (assuming on a usb drive),  I go to my own account and open the new, blank company.

 

I select "import data" from the gear icon.  The only options to import are bits and pieces of the old comany like invoices, chart of accounts, or expenses.  I don't see an option to import the entire old company and everything in it.  

 

I have Quickbooks Advanced as does the old company on my mother in law's account that we are trying to move.

She currently has 6 companies on her account. 

She will be keeping 3 of them when I take over the other 3.  I think for this reason she can't just transfer her account to me by making me Primary Admin, am I correct?  I am very new to all of this...clearly!  lol

What kind of copy do you mean? Do you have QB Desktop files? i.e *.qbb

Regarding your question about the import options in QBO, you're correct that we can't import an entire company's data in one go. First, since a QBO subscription is for one company only, I'd recommend collaborating with your accountant or tax professional firsthand to account for the change in your books and any tax implications involved if you're merging the three companies into your company.

However, if you mean managing multiple companies under one Intuit account, as SIAB suggested, you can consider transferring Primary Admin access to the three companies to your Intuit account instead. Based on the scenario you've added, this is possible. I'd recommend collaborating with the current primary admin of the three companies for the necessary documents needed and referring to this article: Request to be the primary admin or contact.

I don't know what kind of copy I need of the old company.  I guess I was just assuming she would be able to put the whole company on a usd drive of some sort and I can just upload it to my new, blank company??  There has got to be a simpler way, doesn't there !

If we change the Primary Admin to me on the three existing companies, how does that affect the subscription/payment of the three companies I am looking to take over?    I currently have a new QB account with 3 blank companies on them, waiting to receive the date from the existing companies.

How to transfer a company to a new account

If you need to transfer data from an existing QuickBooks Online (QBO) account to a new QBO account, you can copy the data from the old account to the new one, @kelly-daufeldt-o. I can guide you through the process to ensure a smooth transition.

 

Exporting data from the old account and importing it into the new one doesn't need a USB drive. Instead, you can use the Online Backup & Restore feature. Here's how to set it up in the old and new company files:

 

  1. In Settings, click Back up company.
  2. From the Action dropdown, click Turn on auto backup.
  3. Turn off all automation settings in the old and new company files.

a. Go to Settings, then Account and Settings.
b. Select Advanced, then Automation.
c. In the Automation section, turn off each option, then select Save.

After setting up the Online Backup & Restore feature in both accounts, you should see both companies listed on the Home page of your Online Backup & Restore app, with only the old company having the backup enabled.

 

Once configured, you can now copy the data from the old company to the new one. I can provide you with further guidance on this process if needed:

 

  1. In the old company's Settings, click Back up company.
  2. Both companies should be on the Online Backup & Restore homepage.
  3. From the Action ▼ dropdown menu, select Copy for the old company.
  4. Check if the Copy has the old company listed.
  5. Choose the date and time of the backup you want to restore in the As-of field.
  6. Verify that the Copy has the new company listed.
  7. Hit Create Copy.
  8. Type the new account's name and tap Copy to approve you want to overwrite the new company with a copy of the old company.

Once complete, you will receive an email notification. The time it takes for the transfer to finish may vary depending on the amount of data you have. Please note that there may be some data that cannot be backed up. After the data transfer is complete, you can designate yourself as the Primary admin for the new company file. However, this change will not affect the payment subscription unless manage the billing, payment, and subscription info in QBO.

 

Furthermore, you can seamlessly import your customers and vendors from your email contacts in QBO by exporting your lists as spreadsheets from Outlook, Gmail, Excel, or Google Sheets.
