The PayPal bank balance is the balance retrieved from PayPal, and the reconciled balance consists of transactions added and reconciled in your GL account register. To determine why these balances don't match, you'll want to verify the following factors causing the discrepancies:

 

  • Outstanding transactions
  • New transactions for a connected account
  • Duplicate transactions
  • Edited or deleted transactions
  • Credit card (liability) account

 

To fix the difference, categorize and match your transactions and make all the necessary adjustments. You can use your bank statement as your basis when adding and excluding the appropriate entries. you are missing the questions

 

the paypal account in the register and the reconciled balance are exactly the same to the penny

 

the paypal account on the dashboard / cash flow shows the balance from 2 months ago - this is when it switched from a linked bank account to be an app added with the connector.

When the connection between your bank and QuickBooks Online is disrupted, the balances in the Bank transactions page will not be updated. This can lead to bank errors, and a failure to download transactions. Let me share with you the factors that impact the connection:

 

  • Security notifications from your bank that requires your attention
  • Intermittent or unstable internet connection
  • Bank website or QuickBooks Online server maintenance
  • Accumulated cache on your browser
     

You mentioned that a switching of links occurred months ago. This likely explains why the balances did not update. Let's manually refresh the connection in the Bank transactions page:

 

  1. Go to Bank transactions.
  2. Click the Update button.
  3. Review the bank balances.

If the issue persists, I'd recommend contacting your bank's support to help you review any notification requires your attention. They can also confirm if there's an ongoing issue or maintenance on their end.

 

Once you have verified that there are no notifications or server maintenance issues, go back to the Bank transactions page and update it again. It seems that you do not understand how it works when the link is setup for the PayPal account to update through the app transactions field. you cannot do both. 

 

See attached screenshot. It moves it and does not allow it to be in both places.

I am having the same problem, and I agree with the original poster that you don't understand the question. The "Bank Accounts" dashboard card has 2 lines in it. "Bank Balance" and "In Quickbooks". The "In Quickbooks" amount is right and also tracks to the balance in Paypal. However the line called "Bank Balance" hasn't been updated since I switched to the app connector, so the summary information is wrong. If you click on it, you cannot force an update to this amount (since it now directs you to the paypal app,  and it appears to be "orphaned " with whatever it had in it when I switched to the app connector. The issue isn't that there is a real disagreement, since the app connector report now matches. However, the dashboard card is showing an old value for "Bank Balance" that cannot be updated, and the line should not show at all. I simply want to remove the misleading information, now that the paypal app connector has taken over.

Thanks for your detailed explanation, Pyrodon. I’ll clarify how the Bank Balance is reflected in QuickBooks Online.

 

The reason the “Bank Balance” on your Dashboard hasn’t been updated since switching to the PayPal app connector is due to the change in connection method. Previously, PayPal was connected as a bank feed, allowing QuickBooks to pull the live balance and update the “Bank Balance” line.

 

Now, with the PayPal Connector app, transactions sync through the app rather than a traditional bank feed, so QuickBooks no longer receives live balance updates from PayPal. This causes the “Bank Balance” line to remain outdated.

 

If PayPal is connected as a bank account feed, the bank balance should be updated to reflect the live balance. I recommend disconnecting and reconnecting the Bank account from the Transactions feed to refresh the connection and update the balance accordingly.

 

Here’s how to disconnect the account:

 

  1. Go to Transactions, then select Bank transactions.
  2. Choose the tile for the PayPal bank account.
  3. Click the pencil icon and select Edit account info.
  4. Check the box for Disconnect this account on save.
  5. Click Save and Close.

 

Once disconnected, you can proceed to reconnect the account to re-establish the live feed.
