We could only go back a couple of months when connecting Paypal, but need to go back and pick up older transactions from 1/1/24 - 5/21/24. How do we do this?

When we connected to Paypal, it would only allow us to go back a few months, but we have to pull in transactions to the beginning of the year.   We attempted to download transactions, but we cannot see an easy way to pull in only the completed transactions, and not the auths and holds.  What am I missing?

You can disconnect your PayPal and connect it again to select a past date, @brett-r. Let me shed some guidance for you to be aligned with your goals.


You can manually import transactions from the past 18 months during the initial setup of the connection, you just need to select a specific date range of a past date. If you want to choose a past date that wasn't included during the initial setup, I recommend disconnecting your PayPal and reconnecting it in QuickBooks Online (QBO). To disconnect, here's what you need to do:
 

  1. In your QuickBooks Online, click Transactions.
  2. Hit Bank transactions.
  3. Select the Edit icon on the PayPal account and choose Edit Settings.
  4. After that, hit Disconnect PayPal.

Please note that there's no option to filter on what type of transactions that will be imported. QuickBooks will sync all your available entries; however, it won't include the temporary holds and releases. For other irrelevant transactions that you don't need, you can exclude them in the For Review tab.

I figured it out on my own. 

I pulled the statement data from 1/1/24 - 5/21/24.   I duplicated the lines, and deleted the gross from one set, and the fees from the other set, so that one acts as credits, and the other acts as the debits.  I removed all hold line items.   I divided the file into sections less than 1000 lines, and manually imported the data, using 2 lines for credits and debits.

We have encountered similar issues. We can only sync the latest six months of PayPal transactions, but we need the entire year of 2024. I’ve tried disconnecting and reconnecting, but that didn’t resolve the problem. I plan to manually add the missing entries for the first four months, but I’m unsure how to do that. I have downloaded the PayPal transactions in a CSV file. Is there a step-by-step guide for adding these entries into QuickBooks?

After disconnecting and reconnecting, you’ll be able to select a date range to import transactions from up to 18 months of past data. Please ensure that the transactions you're trying to sync in your PayPal account are cleared, as uncleared transactions will not sync with QBO.


Regarding manual importing of transactions, this option is only available during the initial setup when you can choose a past date. Since your issue persists after disconnecting and reconnecting, I suggest reaching out to PayPal support for further assistance. They have the expertise and resources to help resolve this matter. Moreover, you can also consider manually entering the transactions to QBO, as an income or expense.

 

Additionally, ensure to reconcile your accounts to keep them accurate and up-to-date.

During the PayPal reconnection process, it didn’t prompt me to enter a date. Any idea why this might be happening? While when I synced QuickBooks with my other bank account, it did prompt for a date, so that worked as expected.

Let's open your account, disconnect, and reconnect your PayPal using an incognito window. This process can help eliminate the possibility of a webpage issue preventing the prompt to enter a start date from appearing.
 

Here are the following keyboard shortcuts:
 

  • Google Chrome and Microsoft Edge: Ctrl+ Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P
     


To disconnect your PayPal, please follow these steps: 

 

  1. Head to the Transactions menu. Select Bank transactions.
  2. Click the Edit icon on the PayPal Bank account.
  3. Press Edit Settings and hit Disconnect PayPal.

 

 

Reconnect your PayPal. Once prompted to enter the date, set this up and return it to your regular browser. Afterward, clear your cache to start afresh. If the issue remains, consider switching to other supported browsers installed on your system.
 

Meanwhile, I suggest contacting PayPal support to verify why it only imports six months' worth of transaction data. QuickBooks depends solely on the data they provide.

Thank you so much for your assistance. I disconnected and reconnected PayPal again. During the reconnection process, I did notice there is an option to select how far back I want the transactions to be imported. However, I cannot choose a date earlier than six months.

QuickBooks allows you to download your transactions for up to 18 months, depending on your bank provider. Since you're using PayPal, you should be able to download transactions older than 6 months.

 

If you're unable to do so, I suggest reaching out to PayPal support for further assistance. They have the tools to help you retrieve older transaction data.

I checked with PayPal, and they confirmed there’s no limitation on their end. They provided some steps, but my backend interface looks different from what they described. Could you help me double-check? Syncing data for the full year would make things much easier for me.

If syncing the entire year isn’t possible, could you help me with a step-by-step guide on how to manually import PayPal data into QuickBooks? I’ve already downloaded the data from PayPal. Is there a way to add transactions from before six months ago into the same area where the synced transactions are stored?

Connect to Paypal is the new integration app for QuickBooks Online (QBO)  that's why your backend interface is different, Jen.  Let me discuss this matter with you. 

Importing your Paypal transactions to QBO is only allowed during the initial setup of the connection, where you can choose a previous date for the data import. If you accidentally selected the wrong date range or need to adjust it after establishing the connection, you'll need to follow a specific process.

First, ensure you disconnect the current connection by going to the settings and selecting the disconnect option. Once disconnected, you can reconnect, and you'll have the opportunity to enter a new date range for the manual import, enabling you to properly align your data with your needs.
