Buy nowI am using QBD 2020 Prem R13
Unfortunately the bank changed the details of the downloaded bank transactions, removing payment details and replacing them with the transaction date. Now I don't have any idea what those transactions are for.
The problem is that QB automatically defaults a payee and an account to those transactions, even though I had not assigned a payee and account to the new download transaction format.
My question is, what list of payees and accounts does QB use to assign them to the bank transactions? I checked all the list that I know off, but have not found the one QB uses for downloaded transactions. I would like to delete all of them that QB does not use any defaults.
Here is a screen shot how the bank transaction screen looks like (the screen shot does not have any sensitive information)
Can somebody show me where the payees/account list is kept?
Hi gerdgoebel,
Thank you for the screenshot and for your effort in finding a list of payees and accounts. There isn't such a list, but I'm happy to shed some light on this so won't have any challenges with this information anymore.
When the automatic creation of renaming rules is enabled, QuickBooks will assign a payee based on bank details and matching names from your list of customers or vendors. For example, if the details include the name Starbucks and it's on your list of vendors, that name will be assigned as the payee to the transaction. The same thing goes for account assignments.
QuickBooks also considers the way you managed your past transactions when auto-assigning payees and accounts.
I would suggest disabling the automatic creation of renaming rules to prevent QuickBooks from changing and assigning names and accounts to your transactions.
On the other hand, putting a checkmark in the Show Bank Memo checkbox can also help since the memo details are purely from your bank. QuickBooks will not replace the information in the BANK MEMO column.
You can reconcile your account once your transactions are all set.
I'm just around if you have other concerns with your bank transactions. Take care and have a good one!
Thank you very much for the detailed explanations!
I have one more question. QB must keep a list of what payee and account I had assigned before. That's the list I would like to get, review it and probably delete some of the assignments. I remember I had some typos and QB of course remembered those as well.
Time for a cleanup
I changed the company preferences and also set the check box to "Show bank memo". And it has some more information about the transaction.
But after I added this new field and expanded it all other columns are rather small now. There does not seem to be an option to remove columns, like type or NO.
If possible I just would like the date, the bank memo, then payee, account, payment, deposit and action.
Welcome back, gerdgoebel.
Being able to remove unwanted columns that will show on your bank transactions is unavailable in QuickBooks Desktop yet.

Do you know if there is a list of payees and accounts that are used for downloaded bank transactions?
I still would like to correct or delete some assignments (if possible)
I submitted the feedback, but don't get my hopes up that anything will be changed.
