Why are my Quickbooks Payments deposits not being automatically recorded anymore?

Have you or anyone else had this issue resolved? This issue still hasn't been resolved for me in years. I'm a pro-advisor accountant who manages multiple business accounts and knows for a fact this was previously working (to a certain extent). It isn't working at all now. What I need help understanding is why QBO's system doesn't match its own merchant service transactions. I am paying for the merchant services through QuickBooks, so why is this not a streamlined feature? This is totally unacceptable for how much we pay Intuit monthly. This should be a core feature that QuickBooks should focus 100% attention on fixing immediately. As someone mentioned, something breaks or worsens every time QBO rolls out a new update. I've been concerned recently because I keep receiving notifications that QBO is about to launch a massive update. This greatly concerns me and will most likely result in more issues.

Hello there, @visionbranded. I'll share details about matching merchant services transactions inside QuickBooks Online (QBO).

You'll want to ensure that the option to match transactions automatically inside the program is enabled. Doing this allows the program to recognize newly added transactions and match them automatically, and you won't have to do it manually.

Also, please know your financial institution needs a unique ID for the auto-match feature to work. Otherwise, the program won't be able to match them, and that you'll have to do it manually. For more details, feel free to visit this handy article: Automatically match QuickBooks Online product transactions.

Moreover, here are some factors why the program can't automatically match transactions inside your company file:

  • There are multiple currencies involved, and the exchange rate has shifted significantly, making the amounts very different.
  • The record is already matched to another transaction.
  • The amounts or dates don’t match.
  • The transaction is older than 6 months.
  • The bank account on the payment isn't the same as the bank where the match is located.
  • The payment has been reconciled.

If the issue persists after ensuring the feature is enabled, we recommend contacting our Customer Care Team. This way, they can conduct further investigation to determine the root cause of the problem. See this page for more details: Contact Payments Support.

Additionally, you can visit this article to help you reconcile an account inside the program: Reconcile an account in QuickBooks Online.

If you require assistance managing payments inside the program, the Community space is open 24/7. Please don't hesitate to visit us anytime so we can lend you a helping hand. You can also post here again if you have any additional QuickBooks-related queries.

Why are my Quickbooks Payments deposits not being automatically recorded anymore?

Yes, it is on. It's always been turned on, as it worked at one point and then stopped. This is the first I've heard anything about needing a "unique ID" from my bank. I referenced the link you sent, but it doesn't say anything about how or what to do with this unique ID. It only mentions that if your bank doesn't offer this ID, you must match them manually. How do I get this unique ID from Bank of America, and what should I do with it?

Furthermore, why would this even matter for the merchant service transactions? I can understand all the other transactions not being matched because they weren't processed through the merchant service, but the merchant service is tied with QBO. QBO should be capable of matching all transactions it generates and charges. I mean, they ultimately end up in the account it's feeding from. This isn't a complex request to ask, especially when it previously worked at one time...

Hello there, @visionbranded.

I see how challenging on your end to acquire the unique ID of your bank for QuickBooks Payments. Let me share the relevance of this in QuickBooks and guide you on how to get one.

The unique ID from your bank is valuable for QuickBooks merchant services to identify and track each transaction processed through the bank. Also, ensuring accurate record-keeping and reconciliation of payments in QuickBooks.

You can contact the Bank of America support to acquire the unique ID.

Once you've verified that your bank provides the ID, I recommend contacting QuickBooks Payments support to further guide you on handling this kind of transaction. If they don't, you'll have to perform the matching manually.

Additionally, we assembled resources to help our users manage their merchant accounts and troubleshoot device issues. Check out this article for more info: Common Questions about QuickBooks Payments deposits in QBO.
