Reconciliation Data Disapear

I have undo reconciliation to go back to the previous month (03/2020).  once I hit the undo last reconciliation button (only hit once), it went back to 08/2019.  so I tried to reconcile again from 08/2019... all items for 09/2019 and 10/2019 are missing on reconcile window.  when I go to the registry, they are still in there...

I just want to go back only one reconcile cycle... that is 03/2020..

Anybody know what is causing this?

Hi @mary sakai,

I appreciate the number of details you've included in your post. Allow me to handle your query about reconciliation.

When you tried to undo your latest reconciliation and it went back to 08/2019, then this means that it covered a date range of 09/2019 to 03/2020. As for the transactions belonging to 09/2019 up to 10/2019, ensure the Hide transactions after the state's end date is left unchecked on the Reconcile window.

You also keep this article handy the next time you need it: Get reports for previous reconciliations in QuickBooks Desktop. It's a step by step guide on how to run reports that can help you identify issues with your previous reconciliations.

In case you need it in the future, you can also refer to this article: Fix issues when you're reconciling in QuickBooks Desktop. It's a step by step guide on how to take care of common issues that can occur during reconciliation.

Thank you for the response. yes i made sure that hide transaction after the statement's end date unchecked.

and also beginning balance for 08/2019 was off.  it shows negative number... that is not accurate number.

as the beginning balance is not accurate, i could not reconcile.  i didnt want to change the beginning balance manually as it must come from missing data and once its fixed the beginning balance should go back as it should be.. so i rather fix missing data first.

your help would be appreciated.

Hi Mary,

Let me continue to help you with your reconciliation.

The Beginning Balance is taken from your register's balance after the last reconciled entry. Kindly review your register transactions to see if there are unreconciled ones between any reconciled entries.

If you've already checked everything, but still the correct beginning balance doesn't show, you can run the Verify and Rebuild data utilities. These tools check for damaged data that causes incorrect figures and resolve them.

Feel free to share some updates on your reconciliation.

Thank you for your response.  i really didnt want to touch last year data so i restored the previous version before undo previous reconcile and correct the mistake on the last month item by using general entry instead.  i will play around later with a copied file...   how to make a copy?

Thanks for coming back. Let me guide you on how to create a copy of your file, mary Sakai.

If you are in a Multi-user mode, let's switch first to the single one. Just go to the File menu and select Switch to Single-user Mode. Then, follow the steps below on how to create a copy of your company file:

  1. Click File on the top menu.
  2. Choose Create Copy
  3. Under What type of file do you want to save, select Backup copy, and Next.
  4. Select Local backup or Online backup and Next.
  5. This runs a test to make sure your backup file is in good shape before you save.
  6. Press the OK button when you're ready.
  7. Tap Save it now and Next.
  8. Tick Finish

For more details about this one, check out this article: Back up your QuickBooks Desktop company file

If you need to restore it in the software, just follow the steps to Restore your file article. Just in case you encounter some issues, refer to this article to troubleshoot the problem: Resolve company data issues when restoring a backup file.

Thanks for getting back to us, @mary sakai.

You'll have to restore the latest backup copy of your file to avoid losing the current data you've entered.

To easily locate the file, you can put your QuickBooks folder in Detail View to get timestamps. Here's how:

  1. Right-click anywhere on the folder.
  2. Select Sort by, then Date Modified.
  3. Choose the file with the latest date stamp.

You can refer to the steps below in restoring your file.

  1. Go to the File menu and select Open or Restore Company.
  2. Select Restore a backup copy and then Next.
  3. Select Local Backup and then Next.
  4. Open the folder, then choose the company file. It should look like this: [Company name].qbb.
  5. Choose a folder where you want to save your restored company file. Then click Open.
  6. When you're ready, select Save.

Also, the Previous Reconciliation report can help you review your past reconciliation to find discrepancies and other issues.
