When I try to add bank fees to a deposit, QBO won't allow me to use an expense account. What am I doing wrong?

Hello there, nate33.

Thank you for posting your concern here in the Community. I'd be happy to help you add bank fees using an expense account in QuickBooks Online (QBO).

You can check the Chart of Accounts to ensure that the expense account is active and enter the positive total amount of the deposit to create it seamlessly. Here's how:

  1. Go to the + New icon and tap on Bank deposit.
  2. Enter all details needed.
  3. From the Add funds to this deposit section, add the square charge (negative amount).
  1. Hit Save and close.

If these steps are not working, there are times that the browser is full of frequently-accessed page resources, thus accumulating and corrupting the browser cache causing the runtime user interface to malfunction.

To start, access the QuickBooks account using a private/incognito browser. You can use the shortcut keys below:

  • Safari: Command + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + P

Once you're in, enter your billable expenses again. If you're able to do so, we'll go back to your regular browser and clear the cache to get rid of the stored junk files.

If the same thing happens, you can use other supported browsers. It could be that the one you're currently working on has a temporary issue with QuickBooks.

Additionally, I'm adding this article for more details on how to handle these transactions: Match and categorize bank transactions in QuickBooks Online.

Feel welcome to get back on this thread if you'll need assistance in dealing with bank deposits. We're always here to help you.

The expense account is working except in "Add funds to this deposit".  The only accounts that show up are bank accounts.  Accessing quickbooks incognito made no difference.

Hello, Nate.

Thanks for taking the time to do the suggested steps. I'd like to clear up some things about the missing accounts when adding line items on the Bank deposits screen.

We do have a reported issue on the Bank deposit page where you can't see any accounts from the Add funds to this deposit section. Our engineers are now working to fix this as soon as possible.

As a workaround, you'll want to use the Batch transactions function to record your deposits with the bank fees. Simply click on the + New button, then select Batch transaction

If you have Plus, Essentials or Simple Start, you'll want to switch to Accountant view to see all of your accounts. Do this by clicking the Gear icon, then selecting Switch to Accountant view

I would also recommend contacting our support agents. They'll get your contact details securely and add you to the list of affected users. This way, you'll be able to receive updates about the reported issue.

Here's how to contact them:

  1. Click the Help icon at the top right corner of the screen.
  2. Go to the Search tab, then click the Contact Us button.
  3. In the box, type something like "accounts don't appear on the Add funds to this deposit section" or similar.
  4. Hit Continue, then click Chat with us.

After recording your entries with the workarounds, do you need help reviewing your financial data through reports?

I would suggest reading this article to help you run and utilize the Reports feature in QuickBooks: Run reports in QuickBooks Online.

We appreciate your patience as we're working to get the Bank deposit feature back to normal. If you do have any other concerns like recording other entries or managing your lists, let me know and I'll lend a hand again.
