deleting all the transactions from 6 years ago in qbo

We converted QBD to QBO. QBD has all the historical records so I do not need to keep any of the previous years on QBO (I will keep 2023 on QBO so I do not need to look into QBD). In the conversion, previous records from 2018 - 2022 is in QBO. We do not want any records from those previous years to be on QBO. How do I purge all the information from those years from QBO

I would recommend to condense your file to remove old transactions as the first step.

Thank you for the suggestion but it's not a big file so there is no need to condense. There are just random transactions, customers and checks that migrated to QBO which we only need to have 2024 transactions so there is no need to have all other years, hence trying to delete the old ones.

I appreciate you for laying out the details of your concern, @SJZebra. I've come to provide some insights and help you resolve this issue with your deleted transaction in QuickBooks Online (QBO).

When migrating data from QBDT to QBO, all the data from QBDT will be transferred to QBO without the option to select specific records. I concur with Deity that there should be an option to condense the data before migration, allowing the user to choose which data to exclude from the transfer to QBO.

If your QuickBooks Online data is less than 60 days, you have the option to purge your account. The system deletes all data entered into the company, and you're unable to restore or reverse them.

Here's how:

  1. Log in to your QuickBooks Online account.
  2. Change the URL to include /purgecompany.
  3. ExampleURL shows https://...qbo.intuit.com/app/homepage, change to: https://...qbo.intuit.com/app/purgecompany.
  4. The next screen will provide a summary of the items to be deleted.
  5. Once the data has been deleted, you will need to type the word YES to confirm, and then click on OK.
  6. Once you have made your selections, click on Wipe Data
  7. After the deletion process is finished, you will be redirected to your home page.

Note: Before migrating, create a backup of your company file in QuickBooks Desktop. Purging your QBO account will permanently delete all data associated with it, and this action cannot be undone. After that, condense the file to remove older transactions, then migrate again.

Alternatively, you can delete your transactions manually within QBO through the register.

Here's how:

  1. Click the Gear icon, then choose Chart of Accounts.
  2. Find the account, then click View Register under ACTION.
  3. Click the entry you want to remove, then select Delete.
  4. Choose Yes to confirm.

For additional reference about this action, read this articleDelete your data and start over in QuickBooks Online.
