Error 213 - unable to locate the duplicate file that is being mentioned

Run the Verify/Rebuild Data utility one more time. If the same error persists, consider to purchase a 3rd party file repair service.

Error 213 - unable to locate the duplicate file that is being mentioned

It's a pleasure to have you in the Community today, @T-mule.

We've got you covered, I'll be sharing some insights to help you locate the duplicate file that's causing the error in QuickBooks Desktop (QBDT).

If two or more names are the same, QBDT will detect the errors. Lists may have duplicates when you import them from various sources such as a different company file, excel, or integrated applications.

In case of damaged list elements, rebuilding your company file can help solve the issue. However, if you still see errors after the rebuild, you have to edit the duplicates to fix the problem. Please remember to create a backup of your company file before proceeding with any changes:

Step 1: Proceed to find the duplicate names:

  • Use the QBWin.log file to find the duplicates.
  • Use the Primary Name List to find duplicate names.
  • Use your regular lists to find accounts, items, templates, etc.

Step 2: Edit one of the duplicate names.

  1. Modify one of the names:
    1. Access the list the name is on. (Customer List, Vendor List, and so on.)
    2. Verify the name in the list to edit.
    3. Adjust at least 1 character of the name to differentiate it from its duplicate.
    4. Click OK.
  2. Repeat Step 1 for all duplicate names mentioned in the QBWin.log.
  3. To ensure there are no more duplicate names, run the verify data utility.

Moreover, for detailed steps of this, you can check this article for troubleshooting list damage in your QuickBooks company file: QBWin.log: Verify list. Duplicate name encountered.

If the steps taken to fix this error continue to persist, it appears that this duplicate is no longer an active item. Let's include all the inactive items on your Item List to check if this is the case. Here's how:

  1. Go to the Lists menu and select Item List.
  2. Select the drop-down arrow for the Item tab and check the Show Inactive Items.
  3. Locate if there's a duplicate name for the item. If there is, you can change or delete the name.

Moreover, if the issue persists, I suggest reaching out to our QuickBooks Support Team. For the support's contact information, you may check it here: Contact the QuickBooks Online Customer Support team. They have additional tools that will help investigate this further.

In addition, since I don’t want to leave you empty-handed here. I’m adding some links that will guide you on how to handle other QBWin.log errors you may encounter; you can direct to the following links below to fix it:

If your company buys, sells, or resells items such as products, shipping and handling costs, discounts, and sales tax (if applicable), you can do them to modify, and remove them in QuickBooks Desktop for Windows and Mac: Add, edit, and delete items in QuickBooks Desktop.

Please let me know if you have follow-up questions about locating duplicate files or anything else related to QuickBooks Desktop. I'm always here to help. Stay safe, @T-mule!
