I'll share the steps on how to get rid of your QuickBooks password, @so frustrated.

 

While we're unable to delete the password prompt, you can remove the password from the user settings. Let me walk you through how.

 

  1. Go to the Company menu at the top. Then, choose Set up Users and Passwords.
  2.  Enter the existing password in the Change QuickBooks Password window. Then, leave the New Password and Confirm Password fields blank.
  3. Scroll through to the challenge question and choose the Select option, and leave the answer blank. 
  4. Click OK.

How do I add "deposit" to my company shortcuts? How do I get rid of "home" from popping up?

How do I get rid of these insane passwords? I do not have any credit card or account info on my quickbooks. I just use it as a glorified check register. I don't need passwords as there is nothing to protect and I really don't need to remember complicated passwords to satisfy intuit. The lack of a person to speak with is a big negative. Is there any way I can speak with someone over the telephone? Please!

To ensure the protection of your critical data, QuickBooks Desktop requires passwords for data files to meet certain complexity requirements. However, you can log into a Company File without having to enter a username and password every time. This works as long as you are using the same Windows user account, you only have to log in with your username and password once every few days. For the steps and details, see Stay logged in to QuickBooks company file (sign in without entering your password) article.

I know what the issue is... Intuit wants you to subscribe to their paid support program. Like many others, I don't need companies telling me what level of security I need. I want to turn off the password and have the convenience. It doesn't help when they send you solutions that don't work. "The password you entered is not complex. Please try again." Sounds like a simple software fix for the corporation if it aligned with their company goals.

I have the same issue and get the same results - i.e. "enter a complex password." 

 

I do bookkeeping for several entities.  I don't do payroll, I don't download transactions from banks or credit cards.  I don't need a password and I don't want passwords on the company files.  I agree that it seems like this would be a simple fix for Intuit to perform and it's really frustrating that they don't fix it.

I get the same results. This password requirement is not necessary for so many of us. I fail to understand why QB refuses to disable this for those who do not need it. It has cost me so much wasted time. You do not require frequent password changes to anything else such as merchant services, why this?

I've wasted more time with customer service than I can account for. They have taken the classic 1800Idontgiveacrap customer service model and done a good job of implementing it. They treat you as if you are in the tiniest of minorities experiencing a difficulty, and then fail to resolve these simple issues such as removing password requirements for desktop users.

I know that entering a password all the time is bothersome. However, QuickBooks Desktop requires passwords to protect data files.

 

The closest workaround I can think of right now is configuring your setting. This way, you're always logged in and don't need to enter your password.

 

Do the following: 

 

  1. Go to the Company located at the top of the page. 
  2. Select Users, then choose to Manage Login Settings
  3. Hit the General tab on the left side. 
  4. Under Manage Login Settings, pick the Keep user logged in for and specify the login period.  
  5. Hit OK.

 

Please know that this will work if you are using the same Windows user account. However, users will be automatically logged out of QuickBooks at the end of the login period you configured under this preference. This is incredibly frustrating.  I check in every so often to see if Intuit has softened it's password-gestapo requirements and once-again, I'm left silently cussing about the arrogance responses shown by the Inuit staff/moderators.

"QuickBooks Desktop requires passwords to protect data files." is not an answer.  It is a deflection of the problem Intuit refuses to acknowledge and patronizes us long-time customers.  As a software engineer myself, there is zero technical reason to make this password requirement mandatory.  Zero.  Requiring it for those that don't store any kind of  financial information like credit cards, SSN's, etc.. makes it even worse.

Enough with the empty assistance and faux-answers.  We deserve better support from Intuit.  Your software is replaceable and why Intuit feels antagonizing customers is the better approach is beyond me.

It is now Oct 2022. The process has evidently changed as if i leave new password blank, a notice pops up to say,  the password you entered is not complex please try again. This happens every time I click on CONFIRM. 

There are no challenge questions!

To protect your personal and company information, QuickBooks Desktop requires passwords for data files to meet specific complexity requirements. The program will prompt you to set up a complex password if your QuickBooks files contain any sensitive/critical info, such as social security numbers, credit card numbers, or employer identification numbers. 

 

Additionally, users with Credit Card Protection will also need to set up a password. You'll want to make sure to follow the minimum requirements for complex passwords below:

 

  • Between 8-16 characters in length
  • At least 1 uppercase character (A-Z, plus all uppercase characters in the Latin-1 Supplement set)
  • At least 1 lowercase character (a-z, plus all lowercase characters in the Latin-1 Supplement set)
  • At least 1 special character (! " # $ % & ‘ ( ) * + , - . / : ; < = > ? @ [ \ ] ^ { | } ~)
  • At least 1 number (0-9)
  • Password cannot contain the username or password (case sensitive)
  • No spaces

QBDT will also ask you to change your QuickBooks password before the end of the 90 days to assure you don’t forget it or to keep your data safe from potential cyber threats. Plus, you will get a reminder on the expiration date too.

QuickBooks detects the presence of the following Personally Identifiable Information (PII). That's one of the reasons why you're getting the error. Since QuickBooks Desktop requires passwords for data files to meet certain complexity requirements. You'll want to ensure the protection of your critical data by following the minimum requirements for complex passwords that include the following: 

 

  • At least 7 characters (letters, numbers, or special characters)
  • At least 1 number
  • At least 1 uppercase letter

 

Also, take note that passwords are case-sensitive, as @KlentB mentioned above on this thread.

 

Other than that, if you're using QuickBooks Desktop in multi-user mode, ensure that all users are using the supported version of QuickBooks Desktop and have them installed the security update. However, if you've already set up a complex password and you're still getting the same error, I would suggest reaching out to our support team to double-check your account. They have the tools to securely pull up your account in a secure environment.

If you put your employer number into Quickbooks - it requires a password. They condiser that as "sensative"

Go to Company>>My Company and Remove the EIN> 


Then do what is suggested above:

Go to the Company menu at the top. Then, choose Set up Users and Passwords.

Enter the existing password in the Change QuickBooks Password window.
Then, leave the New Password and Confirm Password fields blank.

Scroll through to the challenge question and choose the Select option, and leave the answer blank.

Click OK.

I need to rid myself and accountant of the password garbage you have instituted here or rid myself of quickbooks. I pay a premium for this to create efficiency yet you have made this nearly untennable. Can you explain to me why I have had to send an accountants copy 4 seperate times, each time with failure due to the passwords? Who pays for this lost time? I do not need passwords with my 1 person company. Can you also explain why I need to change passwords so frequently on the book keeping part of the service but not ever on the merchant service account? If fraud or theft were to occur , where would that take place? Let me answer that......follow the money. Can you tell I'm angry? I have asked and asked and asked again, yet you refuse to change your software. Why are you so tone deaf regarding the issue? We need answers NOW.

I can see the inconvenience this issue has brought up to you. I'm here to answer your queries.

 

Whenever you send an accountant's copy, we will ask for a password to ensure that only your accountant can open the file. If you don't remember the password, you'll have to resend the accountant's copy as you can't reset this password. You can follow the steps below to reset the password:

 

  1. From the File menu, select Send Company File.
  2. Select Accountants Copy, then Client Activities.
  3. Click Remove Restrictions.

 

For your second question, I'll take that you're referring to the password upon logging into your QuickBooks Desktop. 

 

You'll need to change the password every 90 days to protect your critical data such as your Social Security Number, Company EIN, Bank Information (Routing Number, Account Number), or Vendor Tax ID.
