Adding more than 3 custom fields is only available in QuickBooks Online (QBO) Advanced. You can have 48 active custom fields: 12 for sales forms, 12 for purchase orders and expense forms, 12 for customer profiles, and 12 for vendor profiles.
If you're using this version, here's how to do it:
To learn more about the process, please refer to this article: Create, add, and edit custom fields in QuickBooks Online Advanced.
On the other hand, if you're using Essentials or Plus version, you can only add up to 3 custom fields. The ability to add more than that is currently unavailable. Consider checking out this article for more information: How to add custom fields to invoices.

I am using Advanced, but can only have 3 custom field which the customer can see on estimates. I need more custom fields visible to the customer
Hi @kdavid67,
Thank you for your prompt reply. I'm here to share insight on your query about custom fields.
What my peer @FritzF mentioned above is correct. You can have up to 48 active custom fields when you're using QuickBooks Online (QBO) Advanced. As for customer-facing custom fields, the maximum number is 3.
As a workaround, you can utilize the Memo field, or edit the customer message that comes along your sent estimates.
Take a look at this article for additional details: Create, add, and edit custom fields in QuickBooks Online Advanced. It includes screenshots of the whole process for your reference.
Direct your questions in the comments below if you have any. I'll be sure to get back to you.
You may want to look at an app that syncs seamlessly with QBO like Method CRM
With it you can create an unlimited number of custom fields on transactions such as Estimates. You would also have more control of how your estimate template looks and extensive reporting capabilities.
My company and others that I support use Quick Books online, but custom fields are few, today I asked again about the same topic and it was not good.
I sell QbO services in Latin America and export our services to other countries in the same region.
To sell QbO in Honduras you need 6 custom fields and according to the person who attended me in online chat it is not possible with the international version but I asked if the US version has more custom fields but he said he does not know.
QbO is a great and very useful app, but more personality is needed to implement it in other countries in America.
Consider offering QB Desktop for your clients.
They may deploy a private cloud if require to access the company file by internet connection.
iTS 2023 Why is having more than 3 custom fields still a issue?
- Invoice created Date ( Currently Present 1/3)
- Invoice Due Date (Currently Present 2/3)
-EVENT START DATE/TIME (3/3 Restricted to Date ONLY Calendar selection NO TIME - *
-EVENT END DATE/TIME
-INSTALLATION DATE/TIME
-PICK-UP DATE/TIME
**NOTE: CALENDER "DATE/TIME, START/END" entry is standard #1 minimum to every scheduling platform in existence since inception, ios, google, microsoft, cavemen, B.C., etc - WHY NOT QB?
