None of our employees received their 2023 W2 that were SUPPOSEDLY sent out by Intuit. Has anyone else had this issue? I have had SO MANY PROBLEMS by setting up QBO to handle tax filings automatically this past year.
Let's figure out why your employees didn't receive their 2023 W-2s, cmk66.
In QuickBooks Online (QBO), if you set up to handle tax filings automatically for you, we file the W-2s and send copies to your employees if they opt for a printed copy. However, if your employees didn't receive them, you can review the list of employees who opted for a printed copy. Here's how:
W-2s won't print for employees who selected paperless. They can print their copy from QuickBooks Workforce if needed. You can also print for them if they didn't get the original form. Just write REISSUED STATEMENT on the top and include a copy of the W-2 instructions. Here's how:
For further information about printing the W-2 forms, check out this article: Print your W-2 and W-3 forms.
You can also contact our Payroll Support Team to check your account and find out why QBO didn't send out copies of W-2s to your employees.
Additionally, I'll share another article to ensure your paychecks are aligned when printing them: Fix print alignment for paychecks.
Hit reply if you have follow-up questions about managing your W-2 forms. I'll be around.
There is not a single employee listed who opted for a paperless W2. All are listed under "Employees for whom QuickBooks will print and mail W-2s". It is quite misleading that QBO reports that they will print and mail W-2s to employees, and yet not a single employee has received it. So much for trusting QBO to handle tax filings automatically.
Thank you for bringing to our attention your concern with the delivery of W-2s to your employees. We understand the importance of resolving this issue and would like to assist you, @cmk66
Please note that there may be a delay in the delivery of paperless W-2s due to significant changes in the process this year. Several factors, such as increased volumes or logistical challenges, can affect the timely delivery of these forms to employees.
While QuickBooks Online (QBO) offers an option to print and mail W-2s to employees, it's vital to understand that this service relies on external vendors for printing and distribution.
We recommend reaching out to our Customer Support team for further assistance and to inquire about the status of the W-2 delivery for your employees. They can provide you with specific information and updates regarding the delivery process.

As of today, none of our employees have received their W-2 forms. We use QBO. I have contacted their support team multiple times regarding the delay. Unfortunately, they have not provided any explanations for why the W-2 forms were not processed before January 31, nor have they given us an estimated date for when we should anticipate their issuance. Last year, our W-2 forms were filed and accepted on January 9th, so the current delay is quite frustrating, especially as some employees have already inquired about their W-2 forms. Below is the ridiculous message that is posted on our QBO account:
We’re queuing up your W-2s and getting them ready for 2023 year-end filing. Check back here no later than January 31, 2024 to catch a preview.
I appreciate what you've done to fix the issue of being unable to receive the employee's W-2s, SamKas66. I can also recognize how important it is to receive the tax form for each specific person. I'll ensure you can finish the process and be routed to the right support team to assist you further in managing payroll without errors.
Even if W-2 forms are mailed to your employees by January 31, there may be a delay in the delivery of this tax form. This is the result of significant changes to the process this year. Several factors, such as increased volumes or logistical challenges, can affect the timely delivery of these forms to employees.
Furthermore, as my colleague stated above, you can print and mail W-2s to employees manually. This is to ensure that the tax form is delivered to employees as intended.
Then, I still recommend contacting our QuickBooks Payroll Support Team again. They're the best support group for such inquiries as they can request account information. This way, they'll be able to determine why your employees failed to get their W2s and resolve the issue as quickly as possible.
In case you need steps on how you can run several payroll reports you can use to see employee info, wages, taxes, and deductions, you can read this article: Run payroll reports.
You can always add comments below if you still have concerns related to W2s in QBO Payroll. I'll get back here as soon as possible to help you again, SamKas66. Thanks for dropping by, and stay safe always.
I'm an accountant with many Quickbooks Online payroll clients. Multiple employers have reached out with the same complaint. Quickbooks does not track when these get mailed out and could not give me any information about the delay or when they can be expected. They claim there is no known issue, but I'm suspecting they got very behind this year.
I need to have a Form W-2 from my 2023 tax return. The Social Security Administration has requested it for my Benefit Verification Letter. My telephone appointment confirmation is on May 30, 2024, at 1:00 pm. Thank you!

Welcome to the Community space, RdL21Bee3_7. I'm here to assist you, and I'd like to gather a bit more detail to have a W-2 form for your Benefit Verification Letter.
If you are an employee, you'll need to have an invitation from your employer to access QuickBooks Workforce. This invitation will provide you with secure access to your W-2 information through the QuickBooks where you'll be able to view or print your W-2 form.
If you're using Workforce App, follow these steps:
On the other hand, if you're using QuickBooks web browser, you can follow these steps:
Moreover, you can also view and print your pay stubs online via the Workforce app. You can see this article for reference: View your pay stubs, time off, and year-to-date pay in QuickBooks Workforce.
I'll be right here to keep supporting you throughout this process. If you have any other questions related to your tax forms or any aspect of the program, feel free to ask.
