941 Weekly and Efile

I am looking for help on this issue.  I am not highly experienced with Quickbooks and payroll, as for my own businesses, I am the only one that works, so I don't have payroll.  Due to some events beyond my control, I have become a part-owner in my dad's business, basically for me, taking over 99% of what he used to do, which includes payroll and filing the 941's.

 

For whatever reason, he was always filing his 941's weekly for his hourly employees and twice a month for his salaried employees.  I have been learning more about what items I can setup to efile (and pay) from inside QB's, and have talked to some other people I know that use QB's that say they do their 941's through QB.  I have looked and looked and seen a way to set it up to do it monthly (I think), but I wanted to see if there is a way to set it up to it weekly from inside QB.  I think it would be so much easier and faster to process it directly from inside the program.  

 

Please, if there is a way to set it to be able to handle this on a weekly basis, I would greatly appreciate the advice.  Thanks in advance.

I'd be glad to jump in and offer my help with your question about payroll, cdhodgdon.

 

I'd also like to ask if the paychecks also processed on a weekly basis? If so, there's an option in QuickBooks where you can set how many days to pay the tax after each payroll. If it's processed every week, you can set up QuickBooks to make the payment due from 0 to 6 days after every payroll. 

 

I'd be be glad to share these steps with you:

 

  1. Go to the Employees menu and select Payroll Center.
  2. Click Change Payment Method in the Other Activities section (bottom section of the page).
  3. Select Schedule payments.
  4. Click Next until you see the setup for Federal 941.
  5. Go to the drop-down list for Payment (deposit) frequency, then select a schedule. If you can see a check box for Let me use a different payment (deposit) frequency, check that box instead.
  6. Click Next.
  7. Select After payroll, then select how many days after payroll you want to pay the tax.
  8. Click Finish.

941 Weekly and Efile

Correct, we have only two types of payroll groups.  Salaried that is paid on the 15th and the 30th and then our hourly guys who get paid each Thursday.  I had to take over the payroll from the gal that was doing it.  My dad never set it up to electronic pay, so I will have to look into that.  In the past, the lady would run the payroll and then take a paper form my dad had setup and would put all the 941 information into it and then call into the EFTPS system to submit the information and write her confirmation number on the sheet.  I was told I should be able to automate this process within QB.  So not only was she calling in the amount of taxes to pay, but she was using the form number 941 and hand creating that sheet weekly.

 

Now, when I look in his forms that are setup to be generated, I see one called Form 941/Sch B Quarterly, which I do generate and send each quarter that has all the information that was sent each week or twice a month, depending on which payroll.  There is also  From 940/Sch A Annually to file annually.  

 

I would like to set it up to have it automatically pay the taxes electronically and I guess a proper weekly or twice monthly form 941.  I also know that it pops up in the Pay Reminder section of the Payroll center, which is where we currently pull the data needed to call into EFTPS.

 

I will look into what you provided, I just want to try and make sure that not only is it making the payment, but its sending that weekly 941 to the IRS or sending it monthly if it does it that way.  I would prefer to have the automated (or the option to submit the form) in Quickbooks and not have to send it to them manually.
